          Disposing of IT hardware carries data security, financial, and environmental risks. The asset disposal workflow enforces a strict chain of custody for compliance frameworks, such as SOX, HIPAA, and GDPR. This process tracks hardware legally and financially as it leaves your organization.

          Components of the Disposal Workflow

          • Disposal Order: Manages logistics for a specific disposal event, tracking details such as disposal vendor, chosen method, and expected pickup dates.
          • Disposal Order Line Item: Links individual assets to a disposal order to track the status of a collection.
          • Certificate of Disposal (CoD): Serves as official proof that data was sanitized and hardware was destroyed or recycled responsibly. This certificate provides the final link in the audit trail, documenting retired assets.

          Lifecycle of a Disposal Order

          1. Order Initiation: Create a Disposal Order in Draft status and specify vendor and disposal method.
          2. Asset Selection: Link retired assets to the order to automatically update asset status to Pending Disposal.
          3. Vendor Handoff: Ship or hand off assets to the vendor to transition the order to Pending Certificate of Disposal, locking assets from further editing.
          4. Certification Reconciliation: Upload the vendor-provided CoD and link it to specific assets to satisfy compliance.
          5. Process Finalization: Verify a CoD to transition assets and parent orders to Disposed status, stopping financial depreciation and updating inventory records.

          Compliance and Audit Traceability

          To maintain a reliable audit trail, the system automatically logs status changes in the Asset Timeline. Auditors can verify that mandatory security tasks were completed and that a verified certificate is attached to every decommissioned device.
