- Disposal Order status is Pending Certificate of Disposal.
- Vendor has provided official proof of disposal file (PDF, image, or spreadsheet).
When a vendor provides proof of destruction or recycling, you can maintain a legal audit trail. Verifying the certificate officially moves assets to the Disposed status and stops financial depreciation.
Create a New Certificate of Disposal
- From the App Launcher, find and select IT Hardware Asset Management.
- Select Disposal Orders.
- Open the disposal order for which you received proof.
- Select New Certificate of Disposal.
-
Enter the certificate details:
- Certificate Name: Provide a unique identifier.
- Issued Date: Enter the date the vendor issued the document.
- Disposal Method: Select the verified method, such as Recycle or Destruction.
- Select Save.
Add Assets to Certificate of Disposal
- Select the newly created certificate of disposal.
- Select Add Assets from the certificate's related list.
- Filter by the Disposal Order, select the specific assets covered by this document, and select Save.
- Confirm that the assets in the vendor proof document match the assets you linked.
- Go to the Files related list and select Upload Files.
- Select the vendor-provided proof document and select Open.
- Change Review Status to Final Certificate and select Save.
The system automatically:
- Updates the Disposal Order and all linked assets to Disposed status
- Stops further financial depreciation and logs a final depreciation entry
- Locks the disposal order record from further edits
