IT Hardware Asset Management Workflows

IT Hardware Asset Management introduces an asset-first data model to streamline fulfillments, returns, and lifecycle management. Use these workflows to manage your IT inventory:

• Run bulk lifecycle actions to process bulk reclaims, refreshes, and disposals efficiently. Filter and select up to 200 assets directly from the Asset List View, or upload a CSV file to process up to 10,000 records. The system asynchronously updates asset statuses, triggers portal intake emails, and logs the updates in the Asset Timeline.
• Fulfill new hardware requests to manage the logistics of providing new devices when an employee submits a service request. Plan the fulfillment method and select an origin stockroom to generate a fulfillment order and fulfillment order line items. The asset status shifts from Reserved to In Transit, and becomes Assigned or In Use upon receipt.
• Process asset reclamations and returns to reclaim a device when an employee offboards or refreshes their hardware. Designate a destination stockroom and create a return order and return order line item. Track the asset as its status shifts to Pending Reclaim, updates to In Transit, and eventually becomes Reclaimed when the inventory manager receives it.
• Manage disposal and compliance to dispose of end-of-life hardware securely and maintain compliance. Initiate a disposal order, add retired assets, and create a Certificate of Disposal record. Attach the proof file from your external vendor, link the assets, and mark it verified to update the assets to Disposed.
• Synchronize assets to configuration items (CI) to prevent data drift by automatically pushing field-level changes between the IT Asset Management repository and the CMDB. Configure field mapping rules to define whether the asset or the CI is the source of truth for specific data points.
