          Status-Driven Quantity Fields

          The dynamic status of an individual asset drives the quantity fields on the related product item record. When an asset state changes, the system automatically decrements the quantity field associated with the old status. It then increments the field for the new status. This tracking reveals stock ready to deploy, undergoing maintenance, or reserved for active requests.

          Single Status to Multiple Fields

          The status mapping framework handles mapping a single asset status value to one or more quantity fields simultaneously. This framework balances physical tracking with operational readiness. Keep your on-hand totals accurate when your users reserve an asset or an asset becomes temporarily unusable.

          • Reserved: This status contributes to Quantity On Hand and Quantity Allocated.
          • Defective: This status updates Quantity Damaged and Quantity On Hand.
          • On Hold or Pending Disposal: This status updates Quantity On Hand and Quantity On Hold to isolate records from active deployment.

          Route Dynamic Values Through Predefined Status Categories

          Customize the dynamic asset status picklist to fit your workflows. To guarantee platform stability, route user-defined status values through predefined status categories.

          • Predictable Reliability: Status categories act as predefined classifications with a strict, out-of-the-box one-to-one mapping to the quantity fields on the Product Item record.
          • Customization: When introducing a new operational sub-status, map it to an existing static category. For example, map a custom status like "Available - Refurbished" to the predefined In Stock category.
          • Data Integrity: The background sync engine reads the fixed category to control inventory rollups. This architecture makes sure that customized picklist values don’t disrupt inventory data logic.

          Requirements for Mapping Activation

          For the asset-based inventory rollup logic to run automatically, configure these conditions across your data schema.

          • Location Configuration: Set the related record's Management Scope field to include IT Hardware. Select Inventory Location.
          • Product Configuration: Select Product Serialized on the parent product record.
          • Active Rules: Configure and activate the explicit mapping associations within the Configuration Management Asset Status Qualifier setup object.
