Capture Data by Using Forms in the Field Service Mobile App
Data Capture creates dynamic forms that work online or offline in the Field Service mobile app. Build forms from reusable assessment questions that follow conditional logic, tailoring questions based on how a mobile worker answers earlier questions. With auto-save, mobile workers can navigate away from a form, and even close the app, without losing their work.

Build forms with the Data Capture Flow process type in Flow Builder, and mobile workers open them as forms in the Field Service mobile app. From safety protocols to environmental assessments to regulatory inspections, Data Capture tailors forms to match the task, so mobile workers get the job done faster.
Data Capture is specifically for visits. Mobile workers open forms from a visit to capture consistent, structured information during their fieldwork.
This documentation covers only how to create question-type forms, which are built from Discovery Framework assessment questions. To build standard Data Capture forms from screen components, such as address, signature, and image components, see Data Capture for Field Service Mobile.
Reusable Questions
A Data Capture form is built from Discovery Framework assessment questions instead of individual screen components. You define each question once, version it, and reuse it across forms. Because the questions are structured and versioned, responses stay consistent across visits and remain auditable over time.
Data Capture for Field Inspections
Use Data Capture to complete compliance checks in the field, even in areas with poor or no connectivity. Mobile workers open an inspection form during a visit, answer questions offline, and view the regulatory codes associated with each question.
When a mobile worker records a noncompliant response and submits the form, Data Capture creates a Regulatory Code Violation record for each associated regulatory code. A single question can generate several violations. Reference data, such as regulatory codes, is primed for offline use with Briefcase Builder. See Regulatory Compliance and Automated Violations.
Offline-First Forms
Data Capture relies on Briefcase Builder to prime records for offline use. Mobile workers often work at sites with poor or no connectivity, so prime the assessment questions and reference data, such as regulatory codes, before a visit. Mobile workers complete forms offline, and the responses sync when the device reconnects. See Briefcase Builder.
- Assign Data Capture Permissions to Mobile Workers
Give mobile workers access to Data Capture flows in the Field Service mobile app. Create a permission set that adds the Data Capture permissions, and then assign it to your mobile workers. - Set Up Data Capture in the Field Service Mobile App
Build Data Capture forms from Discovery Framework assessment questions in Flow Builder. Set up the framework, create assessment questions, build forms, and prime records for offline use. - Build Data Capture Forms with Question Sets
Create forms with the Data Capture Flow process type in Flow Builder. Add assessment questions, organize them into sets and categories, set properties and conditional logic, and preview questions without leaving Flow Builder. - Flow Question Types for Data Capture
Data Capture forms support specific question data types. The data type that you select when you create an assessment question maps to a standard flow screen component. - Considerations for Data Capture
Before you build Data Capture forms, understand the permissions, offline priming, and staged-data behavior that they require. - Data Capture Limitations and Guidelines
Data Capture has limitations and guidelines for offline data operations, performance, high-volume inspections, and permissions. - Assessment Staged Data Records
The assessment staged data record holds form responses until they're validated, so you can review and correct errors before the final records are created. - Regulatory Compliance and Automated Violations
For regulatory inspections, Data Capture forms check work against regulatory codes, capture a compliance status for each question, and generate Regulatory Code Violation records automatically when a response is noncompliant.
