Data Capture Limitations and Guidelines

Data Capture Limitations and Guidelines

Data Capture has limitations and guidelines for offline data operations, performance, high-volume inspections, and permissions.

Required Editions

Available in: Lightning Experience
Available in: Enterprise and Unlimited Editions
Available in orgs where Field Service and Discovery Framework are enabled.

Forms and Flow Operations

  • You can add Create, Update, or Delete operations only at the end of the flow. You can't add screens after or between Create, Update, or Delete operations. These operations can be in any order, as long as they're all at the end of the flow. This constraint protects offline integrity, because Create, Update, and Delete operations run only when a mobile worker is online.
  • Create Records, Get Records, Update Records, and Delete Records operations retrieve only records of User Interface API enabled objects. See All Supported Objects.
  • Subflows are supported, but you can't use Create, Update, or Delete operations with them.
  • You can't mix components and questions in the same flow.

Variables and Formulas

  • Only these global variables are supported: $Api, $Label, $Organization, $Profile, $System, $User, $UserRole, $Flow.CurrentDate, $Flow.CurrentDateTime, $Flow.InterviewStartTime, and $Flow.InterviewGuid. See Flow Resources: Global Variables.
  • Collection variables aren't supported for conditional visibility.
  • Record, Date & Time, and Date collection variables can't use the contains operator in Decision elements.
  • For conditional visibility of Discovery Framework questions, you can't use the output of other questions in expressions. Use external data sources or user profile information instead.

Performance and Scale

  • You can't upload files larger than 100 MB. To compress image files, see Media Utils.
  • To avoid performance issues, use Data Capture on phones with more than 4 GB of RAM, and don't upload more than 10 files or images at a time.
  • To avoid performance issues, break complex single-screen forms into multiple screens.
  • Data Capture supports up to 2,000 records per data operation. For mobile stability, keep each operation to 250 records or fewer. For inspections that generate many violations, keep each submission within this guideline.
  • For Get Records, you can sort a maximum of 2,000 records. To improve sort speed, use filters or a sort order.
  • Prime high-volume reference data, such as regulatory codes, with Briefcase Builder. Test sync and search performance for your data volume before rollout.

Permissions and Licenses

  • Generating PDFs for completed Data Capture forms is available only in Unlimited Edition. PDFs are generated server-side and can't be generated offline.

General Limitations

  • Data Capture is supported only on the Field Service mobile app.
  • When you use deep links, the URL must be shorter than 2,000 characters.
  • Custom footer button labels aren't supported.
