Configure Sharing Settings for Admissions Connect

Your organization-wide default sharing settings give you a baseline level of access for each object and enable you to extend that level of access to your Admissions Connect users.

In Setup, review the default organization-wide sharing settings for the objects that Admissions Connect uses. Edit them to extend or restrict access as needed. You can, of course, also use permission sets, sharing rules, role hierarchies, or portal sharing sets to fine-tune access beyond the organization-wide default options.

  1. From Setup, search for then select Sharing Settings.

  2. Review an object's Organization-Wide Defaults. Edit them or create sharing rules according to the recommendations presented here, if appropriate.

  3. Save your changes.

Note Internal Access applies to Users who work for your institution and use the Admissions Connect app. External Access applies to Users who don't work for your institution and use an Experience Cloud site, such as an external reviewer or applicant.

Action Plan

Configure sharing settings for Action Plans.

  • Default Internal Access: Private

  • Default External Access: Private

We recommend these settings.

  • Internal Access: Public Read/Write

    Allows all of your admissions staff to view application requirements.

  • External Access: Private

    Prevents external Users from seeing all Action Plans.

Action Plan Template

Configure sharing settings for Action Plan Templates.

  • Default Internal Access: Private

  • Default External Access: Private

We recommend these settings.

  • Internal Access: Public Read/Write

    Allows all of your admissions staff to view and assign Action Plans, if necessary.

  • External Access: Private

    Prevents external Users from seeing all Action Plan Templates.

Application

Configure sharing settings for Applications.

  • Default Internal Access: Public Read/Write

  • Default External Access: Private

We recommend these settings.

  • Internal Access: Public Read/Write

    Allows all of your admissions staff to access Application records once they’re assigned an Admissions Connect permission set.

  • External Access: Private

    Ensures that applicants can't see other applicants' Application records and that external reviewers only see the Application records they're assigned to review. To share records with applicants, create a sharing set. For external reviewers, manually share records or use Apex managed sharing. For more information, see Set Up Security for an Admissions Connect Portal.

Application Material Mapping

Configure sharing settings for Application Material Mappings.

  • Default Internal Access: Public Read/Write

  • Default External Access: Private

We recommend these settings.

  • Internal Access: Public Read Only

    Ensures that your admissions directors and administrative staff can access these records once they’re assigned an Admissions Connect permission set. Also ensures that general admissions staff can view Application records in the Admissions Connect components.

  • External Access: Public Read Only

    Ensures that external Users can view Application records in the Admissions Connect components.

Application Material Type

Configure sharing settings for Application Material Types.

  • Default Internal Access: Public Read/Write

  • Default External Access: Private

We recommend these settings. 

  • Internal Access: Public Read Only

    Ensures that your admissions directors and administrative staff can access these records once they’re assigned an Admissions Connect permission set. Also ensures that general admissions staff can view Application records in the Admissions Connect components.

  • External Access: Public Read Only

    Ensures that external Users can view Application or Application Review records in the Admissions Connect components.

Application Review

Configure sharing settings for Application Reviews.

  • Default Internal Access: Public Read/Write

  • Default External Access: Private

We recommend these settings.

  • Internal Access: Public Read/Write

    Ensures that admissions staff can access Application Reviews once they’re assigned an Admissions Connect permission set.

  • External Access: Private

    Ensures that applicants can't see Application Reviews for their Application record and also ensures that external reviewers only see Application Review records they're assigned to review. To share records with external Users, create a sharing set. For more information, see Set Up Security for an Admissions Connect Portal.

Document Checklist Item

Configure sharing settings for Document Checklist Items.

  • Default Internal Access: Private

  • Default External Access: Private

We recommend these settings.

  • Internal Access: Public Read/Write

    Ensures that admissions staff can access application documents.

  • External Access: Public Read/Write

    Ensures that external reviewers and applicants can access application documents.

Note
Note After updating these settings, Document Checklist Items are still only available to Users with access to the parent Application record. If you don't set internal and external access to Public Read/Write, users see an incorrect Status for Document Checklist Items and they also can't see uploaded application documents.

EDA Objects

We recommend that you also review your sharing settings for all of EDA’s objects, especially those you’ve created Application Material Type records for. We recommend these settings.

  • Internal Access: Public Read/Write

    Ensures that admissions staff can access all of an applicant’s related records.

  • External Access: Private

    Ensures that applicants can't see other applicants' EDA records and that external reviewers only see EDA records for the applicant they're reviewing. To share records with external Users, create a sharing set and include the appropriate EDA objects for your institution's Admissions Connect configuration.
