Academic Score Calculations

Use the student information system policy rules framework to calculate the academic scores, such as the grade point average (GPA), of students enrolled in an academic term.

Set Up Academic Term GPA Calculations

Configure a context definition, policy rule, and flows to calculate the GPA scores of students enrolled in an academic term.

To set up academic term GPA calculations: Education Cloud Full Access

Before you start:

  1. Customize and activate the context definition, EduTermGpaCalcCtxtDef.
  2. Create a policy rule customized to your requirements with these details:
    Field Value
    Usage Type Term GPA Calculation
    Context Definition (As created in the previous step)
    Use the sample expression set template available with Education Cloud, Ready_to_Use_TermGPACalculationES, to create a policy rule.
    1. To validate the output, simulate the rule with a sample JSON input using the advanced input mode.
    2. To view the simulation results as an academic score report, select Academic Score Report View from the view dropdown.
  3. Create an academic term policy rule record. For Policy Rule, select the policy rule created in the previous step.
  4. Customize and activate the flows:
    • EDU Student Information: Calculate Academic Term GPA
    • EDU Student Information: Run Academic Term GPA Calculation Batch Job
    Flow templates must be cloned to create the corresponding flows.
  5. Provide create access to the standard user profile for the Academic Term GPA Calculation Event object.

Run Academic Term GPA Calculations

Initiate the rule-based process to calculate the GPA of the students enrolled in an academic term.

To run verification and assignment for academic term registration timelines: Education Cloud Full Access

Before you start:

  1. From App Launcher, find and select Academic Terms.
  2. Select the academic term for which you want the scores calculated.
  3. Click Calculate Scores.
  4. If needed, monitor the batch job.
  5. After the batch process completes, view the academic score report.
    1. From App Launcher, find and select Academic Term Enrollments.
    2. Select the academic term enrollment record.
    3. Select the Academic Score Report tab and verify the results.
    4. To publish the scores so students can view them in Learner Progress Summary on the learner portal, click Publish.
  6. To view the log for a calculation run:
    1. From App Launcher, find and select Academic Term Enrollments.
    2. Select the academic term enrollment record.
    3. Select the Related tab.
    4. Under Academic Term Enrollment Policy Rule Log, select the log record.
