Dynamic Applications Data Sources

The New Application window shows up to four picklist fields, depending on your selections in the design attributes panel. Options in all picklists except Student are based on filtering the Program Term Application Timeline (PTAT) record.

Note Only the Application Types, Academic Terms, or Learning Programs that are associated with a PTAT can appear as picklist options on the New Application window.

To send picklist options to the fields on the New Application window, a PTAT must have:

  • A related Academic Term record with the Active field set to true

  • A related Learning Program record with the Active field set to true

  • A related Application Timeline where:

    • The Application Open Date field has a value that's less than the current date

    • The Application Close Date field is blank or has a value that's greater than the current date

Qualified PTATs are filtered based on the user's selections on the New Application window.

Field Data Source Information
Student

This picklist is available to applicants only if the New Application window is configured to use Proxy mode. Proxy mode enables users to apply on behalf of others or themselves. Data comes from the Contact records related to the running user’s Account.

In Self mode, the Student picklist doesn’t appear and application details populate based on the running user’s Contact ID, Name, and Email values.

Application Type (or Academic Level) This picklist shows all possible values found in the Academic Level field of the Learning Programs related to qualified PTATS.
Academic Term This picklist shows the name and ID of the Academic Terms related to the PTATs that are associated with the Application Type that the user selected.
Learning Program This picklist filters qualified PTATs by the chosen Academic Level and Academic term. It shows the related Learning Programs’ names and related Application Timelines’ Application Category values in the form of “[Learning Program Name] - [Application Category].” For example, “Bachelor of Arts - Regular Decision”.
