Academic Calendar Setup with AI Tools
A guided session builds an academic calendar for your institution, including terms, registration windows, and add and drop deadlines. When you describe your calendar dates or provide a source file to a coding agent, the agent validates the dates and creates the academic year, term, and session records. This foundation supports registration, enrollment, and student communications.

Scenario
A Salesforce admin at your institution wants to set up the academic calendar before advising and registration open. To avoid entering every year, term, and session by hand, the admin connects a coding agent to the Headless 360 MCP Server (Beta) and provides a spreadsheet with key dates. The agent validates the dates and proposes a schedule for review. After the admin approves, the agent creates the academic year, term, and session records with registration windows and deadlines. This validated calendar prepares the org for enrollment and student communications.
Requirements
- Education Cloud Full Access permission set. The agent checks for and assigns the required permission sets based on your privileges, so it never grants access that you don't have.
- A coding agent, such as Agentforce Vibes or Claude Code, connected to the Headless 360 MCP Server (Beta) with access to Education Cloud setup skills. For Agentforce Vibes, no installation is required. Agentforce Vibes installs, enables, and updates AI Skills automatically. You can manage them from the Skills page, under Toolkit, in Agentforce Vibes. For Claude Code, install the Salesforce Development plugin, which provides Salesforce-specific skills and org context through hosted Model Context Protocol (MCP) servers.
Suggested Technology and Experience
Recommended for Salesforce admins who are comfortable with Setup and with running a coding agent against a connected org. No prior experience with a specific skill is required.

Agentic Tips
- Describe your goal in your own words. For example:
- "Create our academic calendar for next year."
- "Set up a semester system with Fall, Spring, and Summer terms and two Summer sessions."
- "Here's our calendar spreadsheet. Add the terms, sessions, and registration windows."
- Specify your calendar system. Describe to the agent whether you run a semester, quarter, or trimester system so that it creates the right terms.
- Provide complete dates. To help the agent validate the calendar, specify term start and end dates, registration open dates, and add and drop deadlines. The agent converts relative dates, such as "next Fall," to specific dates before creating records.
- Review the proposed calendar before you approve. The agent shows the full structure and identifies any overlaps or conflicts. Confirm intentional overlaps, such as summer sessions, when prompted.
- Avoid pasting credentials into a prompt. The agent acts as your authenticated user through the connected org.
Design Considerations
- The agent validates dates before creating records. It checks that term dates are consistent and that the year spans its terms. It also checks that registration opens before classes start and that deadlines fall within term bounds. If a date fails validation, the agent stops and asks you to correct it.
- Add and drop deadlines apply to sessions. Terms don't carry an add and drop date. If your input includes a term-level deadline without sessions, the agent asks how to place the deadline rather than omitting it.
- The agent creates calendar records only. It builds the academic year, terms, and sessions with their windows and deadlines. It doesn't schedule courses, create course offerings, or set up institutional accounts or campuses.
- Spot-check after setup. Ask the agent to show a term or full calendar range to confirm what it created.
