Use these Salesforce case objects to model your institution's advising structure.
- Case record types
- Define the different advising workspaces that your institution supports, such as Academic Advising, Career Advising, or Wellbeing. Each record type represents a distinct support context with its own processes, visibility, and staffing model.
- Case team roles
- Define the role that each support staff member plays and their level of access to the learner's advising case. Roles control whether a member has read, write, or no access to case data.
- Case team members
- Represent the individual staff assigned directly to a learner's advising workspace and customize support to each learner's unique needs.
- Predefined case teams
- Group staff members and their roles into reusable teams. Assign these teams directly to a learner's advising workspace or use them as support pools to provide flexible access to unassigned advisors. When personnel changes, update the predefined case team once; your changes apply everywhere you use that team.
Success Team Records
In an educational institution, a success team is a full network of support staff involved in the learner’s educational journey. At the same time, Success Team is an object in Agentforce Education. After you define your advising workspaces and support structures, create success team records to configure how to deliver learner support.
A success team record serves two purposes:
- A success team record identifies a case record type as an advising workspace, enabling it for learner support.
- A success team record can optionally associate a predefined case team as a support pool, making unassigned advisors available for appointment scheduling.
Institutions have flexibility in how they structure support. Some advising workspaces use only assigned members and teams, requiring a success team record solely to activate the workspace. Others can also connect one or more support pools to provide broader access to unassigned advisors.
Use multiple success team records when a single advising workspace needs multiple support pools.
