Set Up Your Org for Student Success Components

Configure your org to allow learners to view information and interact with student success components on your learner portal.

To set up your org for student success components:

Education Cloud Full Access

OmniStudio Admin

AND

Omni Studio Designer

AND

Omni Studio Runtime

Prerequisites

Note
Note Education Cloud only supports Omnistudio Designer on a managed package at this time.
  1. Configure visibility of personal information fields:
    1. From Setup, in the Quick Find box, find and select Object Manager.
    2. From the list of objects, click User.
    3. Select Field Sets, and then click PersonalInfo_EPIM.
    4. Remove address fields such as Street, City, State/Province, Country, and Zip/Postal Code from the field set.
    5. Remove Fax, Phone, Mobile, Email, and Photo fields as well.
    6. Save your changes to the field set. The excluded fields are now visible to users.
    7. Enable additional permissions to allow external users to view the email field. See Show experience cloud site user's email address to external or guest users.
  2. Enable program and benefit management:
    1. From Setup, in the Quick Find box, find and select Program and Benefit Management Settings.
    2. Enable Create and manage your programs, benefits, and goals.
    3. Enable Allow users to access all benefit assignment and goal assignment records when the user has access to the benefit assignment and goal assignment's parent records.
  3. Enable access to required objects:
    1. From Setup, in the Quick Find box, find and select Sharing Settings.
    2. Under Default Sharing Settings, click Edit.
    3. Modify access for objects as shown:

      • A user can view a case only if they’re listed as a contact for the case. See Cases Available for Customer Portal Users.
      • To enable users to add tasks to action plans created by a different user, provide Public Read/Write as the default internal access and default external access for action plans.
      • To use an action plan template with tasks that are assigned to different users, the user must have access to the respective user records.

    4. Save your changes.
  4. Provide the required profile permissions for managing tasks:
    1. From Setup, in the Quick Find box, enter Profiles, and then select Profiles.
    2. From the list, find Customer Community Plus Login User and click Edit.
    3. Under General User Permissions, enable Access Activities and Edit Tasks.
    4. Save your changes.
  5. Configure the page layout of the care plan object:
    1. From Setup, find and select Object Manager.
    2. From the list of objects, select Care Plan, and then click Page Layouts.
    3. Create and configure a page layout. For example, click Related Lists, then add Open Activities, Benefit Assignments, and Goal Assignments to view them as related lists of the care plan.
    4. Repeat the previous step to configure the page layout for benefit assignment, goal assignment, and task objects.
    5. Click Page Layouts, and then click Page Layout Assignment to assign the new layout to the required profiles.
  6. Configure the page layout of the program object:
    1. From Setup, find and select Object Manager.
    2. From the list of objects, select Program, and then click Page Layouts.
    3. Click Fields, and then drag Success Team to the Program Detail section.
    4. Repeat the previous step for Omni Process and Show on Learner Portal.
    5. Save your changes.
  7. Provide the required permissions for portal users to use Action Center:
    1. From Setup, in the Quick Find box, enter Permission, and then select Permission Sets.
    2. From the list, find Education Cloud for Experience Cloud Access and click Clone.
    3. Enter a label, API name, and description.
    4. Click Save.
    5. Select your new permission set.
    6. Under Apps, click Object Settings.
    7. Select Action Plans, and then click Edit.
    8. Under Object Permissions, select Create and Edit.
    9. Under Field Permissions, select Read Access.
    10. Similarly, provide access to these object fields as shown in the table.

    11. Save your changes.
  8. Configure the page layout of the action plan template assignment object:
    1. From Setup, in the Quick Find box, enter Object Manager, and then select Object Manager.
    2. From the list of objects, select Action Plan Template Assignment, and then click Page Layouts.
    3. Select an existing page layout or create a new one.
    4. Click Fields, and then drag Associated Record Type to the Action Plan Template Assignment Detail section.
    5. Save your changes.
  9. Configure the page layout of the action plan template object:
    1. From the App Launcher, find and select Action Plan Template.
    2. Under Setup, click Edit Object.
    3. Click Page Layouts.
    4. Click Fields, and then drag Show on Learner Portal to the Action Plan Template Detail section.
    5. Save your changes.
  10. Provide the required permissions to portal users for program enrollment:
    1. From Setup, in the Quick Find box, enter Permission, and then select Permission Sets.
    2. Select the permission set created in step 9.
    3. Under Apps, click Object Settings.
    4. Select Program Enrollments, then click Edit.
    5. Under Object Permissions, enable Read, Create, and Edit.
    6. Save your changes.
    7. Repeat steps h to i for Benefit Assignments.
  11. For process automation, designate a default workflow user. See Identify Your Salesforce Org’s Default Workflow User.
  12. Activate flows to automatically create and update benefit disbursements:
    1. From Setup, in the Quick Find box, enter Flows, and then select Flows.
    2. From the list, click EDU Cloud: Batch Generate Benefit Disbursements for Service Appointments.
    3. Click Save As.
    4. Enter a flow label, flow API name, and description.
    5. Save your changes.
    6. Click Activate.
    7. Repeat steps a to f for the EDU Cloud: Update Benefit Disbursement by Service Appointment flow.
