Sample Uses for Address
When you use multiple addresses, the Address object stores the addresses for related Contact and Account records, so you can manage the many addresses associated with a student, a household, or other entity.
-
University—Track a student's address during the school year separately from their permanent home address.
-
K-12—Track the two household addresses that a student splits time between.
-
Any educational institution—Track a seasonal address for a household separate from its primary residence.
Configure Address
Keep the Address object up to date.
Initial Configuration for Address
You need to configure the Address object only if you're using multiple addresses, so start by determining whether and where you want to use them: on Contacts, Household Accounts, Administrative Accounts, institutional and organizational Accounts, or some combination of those entities. For information on how multiple addresses work, see Understand EDA Addresses. For information on enabling multiple addresses in your org, see Configure Address Settings.
Regardless of the EDA version that you started with, complete these tasks to configure Address.
-
Create or customize an Address page layout. We recommend the HEDA Address Layout that we provide, and that you add the Latest End Date and Latest Start Date fields to the layout.
-
Make sure the Account layout you're using, such as HEDA Household Layout, includes the Addresses related list.
-
Make sure that the values for the Primary Address Type picklist on the Contact object match the Address Type picklist values on the Address object. The default values are Home, Work, Vacation Residence, and Other.
-
Configure state and country picklists, which protect data integrity by having users select states and countries from predefined, standardized lists. See State and Country Picklists for EDA.
Keep Up with Address Updates
Consider these updates, depending on which version of EDA you originally installed.

Create an Address Record
Create an address record from the Addresses related list for an account or contact.
Always create the first address for a Contact or Account from the new Contact or Account record. See Use Multiple Addresses for Contacts with Household Accounts or Manage Multiple Addresses for Other Types of Accounts for details. Create additional Address records in any of these ways, depending on your account model.
Create Additional Addresses for an Existing Household Account
Create additional new Addresses for an existing Household Account by starting from the Account record. Do not create them from the Addresses related list of a household Contact. Address records created from the Contact related list aren't synchronized with the related Household Account.
-
On the Account record that requires a new address, click the Related tab.
-
In the Addresses related list, click New.
-
Complete these fields.
- Parent Account
- EDA automatically populates the Parent Account with the Account you started from.
- Parent Contact
- Leave blank. EDA automatically synchronizes the address to all related household Contacts except those marked Do Not Automatically Update.
- Mailing fields
- Enter the street, city, state, and other mailing address details in the appropriate fields.
- Default Address
- If selected, when you save, the new address replaces the existing Account Billing Address and Contact Mailing Address on the related records—except for the Mailing Address on any household Contacts that have Do Not Automatically Update selected.
- Seasonal Start Day, Seasonal Start Month, Seasonal Start Year
- To have the address automatically become the Current Address for the Account and its Contacts on a certain date, select the start day, month, and year. Leave Seasonal Start Year blank to specify that the start date recurs every year.
- Seasonal End Day, Seasonal End Month, Seasonal End Year
- Enter the day, month, and year that the address is no longer the Current Address for the Account and its Contacts. Leave Seasonal End Year blank to specify that the end date recurs every year.
Important Either add seasonal dates to an Address record or select Default Address. Don't do both. If an Address record has both seasonal dates and is marked as the default, then when the seasonal dates end, the same Address record—because it's also the default—continues to be the Current Address on related Contact and Account records. -
Save your changes.
Create Additional Addresses for an Existing Administrative Account
Create additional new Addresses for an existing Administrative Account by starting from the Account's related Contact record. Additional addresses created from the Addresses related list on a Contact record are not synchronized with addresses for the Contact's related Account.
-
On the Contact record that requires a new address, click the Related tab.
-
In the Addresses related list, click New.
-
Complete these fields.
- Parent Account
- Leave blank.
- Parent Contact
- EDA automatically populates the Parent Contact with the Contact you started from.
- Mailing fields
- Enter the street, city, state, and other mailing address details in the appropriate fields.
- Default Address
- If selected, when you save, the new address replaces the existing Contact Mailing Address on the related record.
- Seasonal Start Day, Seasonal Start Month, Seasonal Start Year
- To have the address automatically become the Current Address for the Contact on a certain date, select the start day, month, and year. Leave Seasonal Start Year blank to specify that the start date recurs every year.
- Seasonal End Day, Seasonal End Month, Seasonal End Year
- Enter the day, month, and year that the address is no longer the Current Address for the Contact.

Create Additional Addresses for an Existing Contact
Additional addresses created from the Addresses related list on a Contact record are not synchronized with addresses for the Contact's related Account. This behavior applies to all Accounts: Household, Administrative, and all other types.
-
On the Contact record that requires a new address, click the Related tab.
-
In the Addresses related list, click New.
-
Complete these fields.

Edit Addresses
Update an address record from the Addresses related list for an account or contact.
By default, editing an Address record in any way—even a minor change such as fixing a typo—generates a new Address record with the same relationship or relationships as the original. In other words, if an Address record is related to student Sophia (the Contact) and to Sophia's Household Account, the new Address record is also related to Sophia's Contact and Household Account records.
You can instruct EDA to update an Address record rather than create a new Address record when you make minor changes such as fixing typos. For details, see Manage Simple Changes to Address Records.
Edit Addresses for Household Accounts
When using multiple addresses with Household Accounts, we recommend always editing the Address record, not the Contact's Mailing Address or the Account's Billing Address, to ensure that changes are synchronized across the Address, Account, and all household Contact records.
-
Navigate to the Account record with an address you want to update.
-
In the Addresses related list, click the action menu for the Address you want to update and select Edit.
-
Change the address details as needed.
-
To have your changes take effect immediately, select Default Address.
-
Save your changes.
If you selected Default Address, the Account's Billing Address updates with the changes and so does the Contact's Mailing Address for all household Contacts except those that have Do Not Automatically Update selected.
Edit Addresses for Non-Household Accounts
Edits made to Address records for Administrative, institutional, and organizational Accounts are not synchronized with addresses for the Account's Contacts.
-
Navigate to the Account with an address you want to update.
-
In the Addresses related list, click the action menu for the Address you want to update and select Edit.
-
Change the address details as needed.
-
To have your changes take effect immediately on the Billing Address, select Default Address.
-
Save your changes.
Edits made to the Billing Address are reflected on the Address record, and vice versa.
Edit Addresses for Contacts
Edits made to Address records for a Contact with a container Household Account are synchronized with the related Household Account. Edits made to Address records for a Contact under a non-Household Account are not synchronized with the Account.
-
Navigate to the Contact with an address you want to update.
-
In the Addresses related list, click the action menu for the Address you want to update and select Edit.
-
Change the address details as needed.
-
To have your changes take effect immediately, select Default Address.
-
Save your changes.
Edits made to the Mailing Address are reflected on the Address record, and vice versa.
If the Contact has a Household Account, the Address record is synchronized with the Account record. And if you selected Default Address, the Contact's Mailing Address is updated on all household Contacts except those that have Do Not Automatically Update selected.
Mark an Address as Inactive
When someone moves and doesn’t provide an updated address, or when an address shouldn’t receive mail for some other reason, mark the address as inactive.
-
For a Household and other types of Account, navigate to the Account with the address that you want to update. In the Addresses related list, click the action menu for the Address and select Edit. Select Inactive and save your changes.
-
For a Contact, navigate to the Contact with the address you want to update. In the Addresses related list, click the action menu for the Address and select Edit. Select Inactive and save your changes.
