Analyze Student Enrollment with Office of the President Tableau Accelerator

Term Enrollment

The dashboards use the Course Connection object to calculate historical enrollment for students (Contacts). Course Connections are associated with the Course Offering object, which has a lookup relationship to the Term object. In addition, Terms must have an associated Parent Term that relates to a school year.

Academic Program

The dashboards use the Program Enrollment object to identify students who are pursuing degrees.

Graduation

The dashboards use the Education History object to identify the graduation date for students who have earned degrees.

Institution

The dashboards make three queries to the Account object. The data model requires that you structure your Academic Programs in this way:

• Program (record type is Academic Program)

• Department (record type is University Department)

• Institution (record type is Educational Institution)

For example, the Biological Sciences department at Connected University offers a Bachelors of Science (B.S.) in Biology. Here's how Account records represent these entities.

• Connected University is an Account with the Educational Institution record type.

• The Biological Sciences department is an Account with the University Department record type.

• The B.S. in Biology is an Account with the Academic Program record type. The Biological Sciences department administers this degree, so the Academic Program's parent Account is the department's Account record.

Use Tableau Online

1. Go to Tableau Online and log in.

2. On the home page, click Accelerator dashboard. If you don't land on the home page, click Home, and then click See All.

3. On the Starters page, set your Data Sources filter to Salesforce.

4. Click Office of the President Dashboard Starter.

5. Click Sign in to Salesforce and log in.

Use Tableau Desktop

1. Download the Office of the President Accelerator from Tableau Exchange .

2. Open Tableau Desktop.

3. From the Tableau Desktop home page, click Open a Workbook.

4. In the Data menu, select each data source that you want to share access, and then select Edit Data Source.

5. Log in and select Allow to give access to your data.

Office of the President Overview

Get a high-level view of your institution’s diversity and inclusion metrics using the Overview dashboard. To view this dashboard, select the Office of The President Overview tab.

• Hover over the icon to learn about this dashboard and how you can use the reporting data (1).

• Filter data by Institution, Graduation Class Year, Race/Ethnicity, Gender, or Military Service (2).

• Group students in the charts and graphs (3). Your selection doesn't affect the KPI tiles or the Top 10 States by Enrollment chart.

• KPI tiles showing Fall Enrollment, 12-Month Enrollment, and Degrees Earned compared to the prior year's same time period (4). For example, the tiles compare Fall 2021 to Fall 2020. PYST stands for Prior Year, Same Term.

• The top 10 U.S. states with the highest enrollment (5). Use the menu bar to show data for a particular school year. Click a state to open the Geographic Map dashboard, and view data by state, county, and ZIP code.

• Open the Geographic Map dashboard to view enrollment data by geographic regions (6).

• Fall Enrollment over the last five years by selected group (7). You can display the total count or year-over-year growth. Hover over values for additional information.

• The 12-Month Enrollment over the last five school years (8) by selected group. Hover over values for additional information.

• The top 10 majors by program enrollment (9) by selected group. Hover over values for additional information.

• Degrees Earned over the last five years (10) by selected group. Hover over values for additional information.

Geographic Map

Access an interactive map to see Enrollment by state, county, and zip code.

• Hover over the icon to learn about this dashboard and how you can use the reporting data (1).

• Click the Home icon to return to the Overview dashboard (2).

• Filter by Institution, Graduation Class Year, Race/Ethnicity, Gender, Military Service, or School Year (3).

• Enrollments by U.S. state by number of students enrolled in a given geographic area (4). Click a state for more detailed enrollment data for related counties and ZIP codes.

• Click the Navigation menu to move up or down after selecting a state, county, or ZIP code (5).

• Enrollment data for the top 10 geographic areas in your current view (6). By default, the top 10 states with the most students enrolled are shown. When you click a county or ZIP code, the list shows the top 10 counties or ZIP codes with the most students enrolled.

• Select a state, county, or ZIP code for more detailed data (5).
