          Considerations for Recording Gifts in Nonprofit

          Before you start recording gifts, review these considerations for each gift process.

          Required Editions

          Gift Entry

          • You can map custom fields for gift entry. See Map Custom Fields to Use During Gift Entry.
          • Deleting a gift entry doesn’t automatically delete the related gift transaction. Delete the gift transaction separately.
          • The system sets the transaction status for each gift entry to Pending by default, except for cash payments. Gift entries that are cash or check payments automatically set the transaction status to Paid.
          • Customize the Gift Entry Grid with multiple templates to build targeted and efficient experiences that help users to capture the right gift data quickly and accurately. See Create and Manage Gift Entry Grid Templates.

          Gift Transactions

          You can change a gift transaction status, but some restrictions apply depending on the status. For example, you can only update a paid gift transaction to Unpaid, Failed, or Fully Refunded. For a complete list of allowed status updates, see Gift Transactions.

          Gift Commitments

          When you use gift entry to indicate that a gift transaction paid against an existing gift commitment with a gift commitment schedule, you can only record one payment for each gift transaction. When using the gift entry grid to enter gifts for a batch, you can record separate gift entry rows for separate gift transactions for the same commitment. However, you can't apply one gift entry row to multiple transactions.

          • A gift transaction autonames to the commitment amount, even if the entry amount is different.
          • When the gift entry has processed the gift transaction, any edits require multiple steps and manipulation of the gift transaction status.
          • You can't remove a gift commitment from a gift entry after it’s applied.

          For a gift commitment to appear in a gift entry:

          • Include a date in the Effective Start Date field.
          • Set the status of the gift commitment to Active.
          • The donor must match on the gift transaction and gift commitment.
          • The gift transaction must be linked to both a gift commitment and a gift commitment schedule.
          • Make sure that the Gift Received Date is within the Installment Extension Day Count window for the Transaction Due Date for the next scheduled Gift Transaction.

          Gift Batches

          The processes to remove entries from and setting default values for a gift batch depends on how you process the gift batch.

          If you use the gift entry grid to process batches:

          • Delete rows from the Gift Entries related list on a gift batch.
          • To set default values for a batch, use the "Set Batch Defaults" quick action on a Gift Batch record.

          If you use the Process Gift Batch flow to process batches:

          • To remove an entry from a batch, edit from the entry page. If you use delete from the batch screen, it deletes the entry entirely.
          • To automatically fill all fields for each gift exactly as set, including donor information, select Set as Default. The default remains even if you exit and then return to the batch.
