          Create a Gift Entry in Nonprofit

          There are two methods of performing gift entry. The method that comes with Fundraising out-of-the-box is the Gift Entry window. In this window, you can quickly and easily create a gift with a gift transaction or a gift commitment. The gift can also include soft credits or multiple designations. The second method is to use the Gift Entry Grid. This method enables the lightning-fast entry of gifts in a table by keying across the cells to enter the gift information. You can enter all aspects of the gift in the grid, including the recurring gift commitment, outreach source code, campaign, designations, and soft credits.

          To create a gift entry:

          FundraisingAccess permission set

          Before you begin, make sure that:

          • An active org-wide Gift Default designation record exists.
          • Person accounts are enabled in your org.
            Note
            Note Person accounts were not built to work with Nonprofit Success Pack and therefore, are not supported for use with NPSP. If Person Accounts are not already enabled in your org, don't enable them. Once you turn on Person Accounts in your organization, you can't turn the feature off. See NPSP and Person Accounts in NPSP FAQ.
          • Any gift designations, campaign, and outreach source code records that you want to relate to a gift entry are created.
          • If you're entering new gift commitments in the Gift Entry window, make sure that you have Create access to the Contact Profile object. You need this access because if you add a new recurring gift, Fundraising updates the RecurringDonorType on the donor's Contact Profile. If there isn't a Contact Profile for the donor, Fundraising creates one.
          • If you're using custom fields in gift entry, don't mark them as required in the field properties.
          • If you don’t see the Gift Entry Grid in your org, ask your administrator to turn it on in Setup, under Gift Entry.

          Create Gifts with the Gift Entry Grid

          Rapidly and accurately create a single gift entry, or multiple gifts for a batch, using the tabular entry process of Gift Entry Grid. You can add up to 200 rows for gifts and their related records.

          Gift Entry Grid supports custom fields that are mapped to the Gift Transaction, Account, Gift Commitment, and Gift Commitment Schedule objects. Custom fields mapped to Gift Transaction appear as columns in the grid. Custom fields that are mapped to the Account object appear inside the Add or Edit Donor Details window. Custom fields that are mapped to Gift Commitment or Gift Commitment Schedule appear in the Gift Commitment window. To open the Gift Commitment window from the Gift Entry Grid, click Expand All icon to the right of the Gift Commitment field in the grid. To avoid cache errors, always use the Gift Entry Grid in the console view.

          1. From the Fundraising Operations app, go to a gift batch, the Gift Entries list, or an Account page, and click New Gift Entry.
            The Gift Entry Grid opens. If this is a single gift entry, there's a single row. If this is a batch gift entry, and an expected number of gifts has been specified, then you see the specified number of empty rows. If no expected number of gifts is provided for the batch, ten rows are shown by default, and more can be added.
          2. In the Donor field, select a donor, create a new donor, or edit the donor details.
            • To select an existing donor, search accounts to find the donor of the gift.
            • To create a new donor, click Expand All icon to open the Add or Edit Donor Details window to enter the new donor details.
            • To change or add information to an existing donor that was selected, click Expand All icon to open the Add or Edit Donor Details window to make the update.
          3. Fill out the remaining fields in the grid to complete the gift entry.
            You can set the gift commitment, outreach source code, campaign, designations, and soft credits for the gifts. Gift transactions are matched in the Gift Commitment grid cell and can be backdated to the date on the check or the date that it was received. Up to 50 designations can be added to each gift transaction. Gift Entry can fetch up to five distinct gift commitments per donor and up to 10 gift transactions per gift received date.
          4. To edit any part of the gift, next to the field that needs a change, click Edit icon.
          5. To add a row to the gift batch, from the dropdown list at the end of any of the rows in the batch, select Add Row.
          6. To remove an entry from the gift batch, from the dropdown list at the end of the row you want to remove, click Remove Row.
            Note
            Note You can’t remove rows for gift entry records that are already created.
          7. Save and process the gifts.
            • To process a single gift, click Process Gift or Process & New to process the single gift and then open the grid to create a new gift entry.
            • To save a gift batch that’s in progress without closing it, click Save.
            • To save and close the batch of gift entries, click Save & Close.
            • To test your batch for errors before processing it, on the gift batch page, click Batch Dry Run.
            • To process a batch of gifts, on the gift batch page, click Process Batch.
            If you encounter an error during batch processing, the error is posted to the Gift Processing Result field on the Gift Entries table of the gift batch. The rest of the batch is processed, except for the entry with the error. To fix the gift entry error in the grid, click New Gift Entry and edit the rows with errors.

          Create Gifts in the Gift Entry Window

          Create a standalone gift, create a gift commitment with the first gift transaction, or create an entry for a batch that uses the default gift batch template. The gift can include soft credits or multiple designations. Save time by adding it all in this single, simple Gift Entry window.

          1. In the Fundraising Operations app, open the gift entry form.
            1. For a single gift entry:
              • From the App Launcher (App Launcher), find and select Gift Entries, and then click New Gift Entry.
              • On an Account Record Detail page, in the highlights panel, select New Gift Entry from the dropdown.

            2. To add a gift to a gift batch, go to Gift Batches, create a batch or open an unprocessed gift batch, and then click New Gift Entry.
          2. Select the gift type as Individual or Organizational/Household.
          3. If the donor isn't prepopulated from the Account page, select or add a donor by name or donor ID.
            Note
            Note For an Individual gift type, select a person account as a donor. For Organizational/Household, select a business account.
          4. Select the date that the gift is received.
            You can backdate the transaction to the date on the check or the date it was received.
          5. For a new gift commitment:
            1. Select New Recurring Gift.
            2. Enter the effective start date and expected end date for the commitment.
            3. In Gift Transaction Period, select the gift commitment period.
            4. In Gift Transaction Interval, select the gift commitment interval.
            5. In Gift Transaction Day, select which date of the month the gift commitment schedule recurs.
              For example: A year-long commitment that's set to start today, end a year from today, with gift transactions made monthly (Gift Transaction Period), 1 every month (Gift Transaction Interval), on the 15th day of the month (Gift Transaction Day).
          6. If the gift is fulfilling an existing, active, open gift commitment, select it in the table.
            For example, if the Installment Extension Day Count is 10 and the gift received date is March 11, then the date range is March 1 through 21. Commitment Information shows all unpaid gift transactions with a transaction due date that falls within the date range.
            The Matching Gift Commitments table lists active commitments with unpaid transactions that have a due date within a predefined window. That window is set by the value of the Installment Extension Day Count setting. Gift Entry can fetch up to five distinct gift commitments per donor and up to 10 gift transactions per gift received date.
            Note
            Note Installment Extension Day Count is a global setting found in Fundraising Settings in Setup.
          7. If the gift was received in response to a solicitation, enter the outreach source code. The campaign name is autopopulated after you enter the outreach source code.
          8. Enter the amount of the gift.
          9. Select the method of this gift payment.
          10. Review the Designation Information section for any prepopulated gift designations, and update as required.
            You can add up to 50 designations to each gift transaction.
          11. If you mapped custom fields for the gift, under Additional Fields, complete the custom fields.
            If no custom fields were mapped for gift entry, the Additional Fields section isn't shown.
          12. In the Soft Credit Information section, list the details for any people, businesses, or household members who can get soft credits.
          13. To use the values specified on this page as default values in the next gift entry in a gift batch, select Set As Default.
          14. Save your changes.
