          Manage Constituent Addresses in Nonprofit

          Address management is vital to keeping address data accurate and organized. For constituents, use the contact fields (such as Mailing Address) and for business contacts, use the account fields (such as Billing Address). Furthermore, constituents often have multiple addresses that they use at various times of the year. Track these addresses, or track the constituent's historical addresses, so that you always send outreach materials and gift acknowledgments to the address in use by the constituent.

          Note
          Note Person accounts were not built to work with Nonprofit Success Pack and therefore, are not supported for use with NPSP. If Person Accounts are not already enabled in your org, don't enable them. Once you turn on Person Accounts in your organization, you can't turn the feature off. See NPSP and Person Accounts in NPSP FAQ.

          Add an Additional Address to a Constituent Account

          Make sure that your outreach is received, even if your constituents have multiple or seasonal addresses. Knowing where to send gift requests or acknowledgments increases the success of your outreach efforts and improves your relationships with your constituents.

          When your Salesforce admin updates the Person Account page with the seasonal address fields and the Is Primary and Is Undeliverable flags from the Contact Point Address object, you can see them on account pages.

          1. From the Account page that you want to add an address to, under Contact Point Addresses, click New.
          2. Enter a name for the new address record.
            For example: Smith Household Winter Address.
          3. Enter the new address.
          4. To indicate what kind of address you're adding, in Usage Type, indicate if this address is a Home, Work, Temporary, or Inactive address.
          5. If this address is the account's primary address, select Is Primary.
            Keep in mind that if the IsPrimary flag is removed from the address, the address is cleared from the Person Account mailing address fields.
          6. Enter the seasonal address information:
            1. Seasonal Start Month, enter the month that this new address is used.
            2. In Seasonal Start Day, enter the day of the month that this new address is used.
            3. In Seasonal End Month, enter the month that this new address isn't used.
            4. In the Seasonal End Day, enter the day of the month that this new address isn't used.
          7. Save your work.

          Log Address Standardization and Change of Address Request Status

          If you change or standardize a Contact Point Address, you can log that information.

          If you use a third-party tool for address standardization, an ISV can set up an integration that updates these fields:

          • Last Address Standardization Date
          • Last Address Standardization Status
          • Last Change of Address Date
          • Last Change of Address Status

          Automatically Sync the Person Account Mailing Address and the Contact Point Address

          Always keep the account mailing address accurate with Automatic Person Account Mailing Address Synchronization.

          When you add or update the mailing address on a person account record page, the address is automatically added to the Contact Point Address related list pane. The date that the address was created or updated is appended to the name of the address in the Contact Point Address pane. If a match between the person account mailing address and the contact point address is found, that matched address is updated with the Is Primary flag, setting it as the primary address.

          This feature has to be set up and turned on in Settings.

          Set Up Automatic Address Synchronization

          To set up Automatic Address Synchronization, first clone and activate automation flow and then turn on synchronization.

          1. From Settings, search for and select Multiple Address Management.
          2. Clone and activate the Sync Account Address flow:
            1. Click Go to Flows.
            2. Open the Sync Account Address flow.
            3. Expand the Save As New Flow list, and then select Save As New Flow.
            4. Name and save the flow. For example, name the flow SyncAccountAddressClone.
            5. Activate the flow.
            6. Return to the Automatic Address Synchronization settings page.
          3. Turn on Automatic Person Account Mailing Address Synchronization.
            Note
            Note Don't turn on the Automatic Person Account Mailing Address Synchronization setting until you've completed the previous steps. Automatic Address Synchronization doesn't work without the cloned and activated flow.
          4. For all users who work with constituent addresses, provide read and write access to the Is Undeliverable, Is Primary, and all address fields on the Contact Point Address object and person account mailing address fields.

          Manage Mailing Addresses

          Keeping constituent addresses updated is vital for outreach efforts and for maintaining consistent and clean account data. Never waste time and money on mailing outreach or correspondence to inactive or out-of-date addresses when you take these simple steps to keep account contact information fresh.

          • Use Automatic Person Account Mailing Address Synchronization to keep mailing address updates tracked and synchronized.
          • When mail is returned, go to the person account page, open the address in the Contact Point Address related list, and mark the address as Undeliverable. If the undeliverable address is marked as the primary address, Automatic Person Account Mailing Address Synchronization erases the undeliverable address from the Person Account Mailing Address to prevent sending correspondence to the undeliverable address.
          • Use the seasonal address fields on the contact point address to keep track of which address, such as a winter home or college dormitory, to mail to during the set time period. When the account has seasonal addresses, make sure you send to the right address by checking the seasonal address dates and choosing the right address for the date of the correspondence.
          • To indicate which address is the account primary address, on the contact point address page, open the address and select Is Primary. This indicator helps users identify the primary address on the donor's profile and pull the primary addresses into a list for mailed outreach.
          • If you remove the Is Primary flag from the address, the address is completely removed from the Person Account mailing address.
