Complete Due Diligence for a Grantseeker
Track due diligence requirements on a grantseeker’s Account using Action Plans. Create an Action Plan from an Action Plan Template that contains Tasks, Document Checklist Items, or a combination of both related to gathering this information.

Tasks are actionable steps that need to be taken to determine if a grantseeker is eligible for funding. For example, a Task to verify a grantseeker’s tax-exempt status.

Document Checklist Items collect and store documentation about a grantseeker. For example, a Document Checklist Item for a grantseeker’s previous two years of finances.
Additionally, you can create a Verification Check on a Document Checklist Item. Verification Checks are a unique action specific to due diligence that allows you to upload and track the status of several files for a Document Checklist Item. For example, an Action Plan for due diligence has a Document Checklist Item requesting two years of financial records from a grantseeker. When a grantmaker receives the documentation, they can create a Verification Check on the Document Checklist Item, upload the files, and change the status to Accepted.

Create an Action Plan from Action Plan Templates that your org has published. For example, let's create an Action Plan from the US: Due Diligence Action Plan Template will help track due diligence requirements. - Create a Verification Check
If your admin added a Document Checklist Item to an Action Plan Template, you can use a Verification Check to track the documentation you’ve received as well as the status of the documentation. For example, if there is a Document Checklist Item requesting two years of financial records from a grantseeker, you can add both files by creating a Verification Check. - Edit a Verification Check
A Verification Check can be edited. For example, you can create a Verification Check for an organization's Form 990 and put it in a Pending status until you receive the documentation. Once received, you can edit the Verification Check then change the Status and upload the file. - Find an Organization's Tax Status
If an admin configured the option to search for an organization’s tax status, you’ll see the option to Check Tax Status on a Verification Item. Use this to find if a grantseeking organization based in the United States is eligible for funding and store it on their Account record.
Create an Action Plan
Create an Action Plan from Action Plan Templates that your org has published. For example, let's create an Action Plan from the US: Due Diligence Action Plan Template will help track due diligence requirements.

From the App Launcher (
), find and select Grants Management. -
Navigate to an Account.

Click Action Plans.

Click New Plan.

Enter a Name. For example, Takagawa Institute: Due Diligence.

From Action Plan Template, search and select the Action Plan. For example, US Due Diligence.

To skip weekends and company-designated holidays, select Skip Nonwork Days For Tasks.

Enter a Start Date.

Target Record is auto-filled to the current Account.

Select a Status.

Click Next, then click Save.
If the Action Plan Template creator selected Let users add items to action plans, you can add additional Tasks and Document Checklist Items to this Action Plan.
Create a Verification Check
If your admin added a Document Checklist Item to an Action Plan Template, you can use a Verification Check to track the documentation you’ve received as well as the status of the documentation. For example, if there is a Document Checklist Item requesting two years of financial records from a grantseeker, you can add both files by creating a Verification Check.
Let's say you received a grantseeker's Form 990. You can now create a Verification Check on the Form 990 Document Checklist Item, upload the file, and change the status to Accepted.

Navigate back to the Account.

Click Verification Items.

Click (
), then select Create Verification Check.
- Enter a Verification Check Name. For example, Form 990: 2019.
- The Status defaults to New, but you can select another Status. For example, Accepted.
- Enter the Date Verified.
- Optionally, add Comments.
- Upload the file by clicking Upload Files and selecting the file, or by dropping the file into Files.
- Click Done when the file is uploaded successfully.
- Click Save.
Edit a Verification Check
A Verification Check can be edited. For example, you can create a Verification Check for an organization's Form 990 and put it in a Pending status until you receive the documentation. Once received, you can edit the Verification Check then change the Status and upload the file.

Navigate to an Account that has an existing Verification Check.

Click Verification Items.

From a Verification Item, click (
), then click Edit a Verification Check.

Make updates to the Verification Check. For example, change the Status to Accepted, add a Date Verified, and upload the file.

Click Save.
Find an Organization's Tax Status
If an admin configured the option to search for an organization’s tax status, you’ll see the option to Check Tax Status on a Verification Item. Use this to find if a grantseeking organization based in the United States is eligible for funding and store it on their Account record.

Navigate to an Account.

Click Verification Items.
- From a Verification Item, click (
), then click Check Tax Status.

Enter an EIN for the organization, then click Search.
Note If an EIN is specified in the Tax ID field on an Account, it automatically shows up here. -
A result shows if a valid EIN is entered. Select it, and click Continue.

Now, you can create the Verification Check.

Enter a Verification Check Name.

Select a Status. The default is New.

Enter a Date Verified.

Add Comments if needed.

Upload Files if needed.

Click Save.
