Enable Funding Request Collaboration

Allow Funding Request Collaborators

Allow applicants to invite collaborators on Funding Requests in the grants portal.

1. Click , then click Setup.

2. Enter Metadata in the Quick Find box, then click Custom Metadata Types.

3. Next to Grants Management Settings, click Manage Records.

4. Edit the GlobalFeaturesSettings.

5. Select Funding Request Collaboration to turn on the ability to collaborate.

6. Enter how long the invitation is available in seconds in Collaborator Invitation Time Length. The default is 7 days (604,800 seconds).

7. Enter your Collaborator Invitation URL. Find the base URL in your portal by looking at the properties of the Collaborator Invitation page in Builder and append it to your portal's URL. For example, https://customdomain.yourgrantsportal.com/s/collaborator-invitation.

8. Enter the Unique Name of your self-signed certificate in Collaborator Invitation Certificate Name. Learn how to create a self-signed certificate in Generate a Self-Signed Certificate.

9. Save your work.

Update Invitation to Collaborators

Update the email template to reflect your organization's branding and messaging.

1. From the App Launcher (), find and select Email Templates.

2. Select Grants Management: Email Invitation for Collaborators.

3. Edit the template and update the message content.

   

   Note If you're unable to edit the template, review Select Who Can Work in Email Template Builder.

4. Save your work.

The Grants Management: Send Invitations to Collaborators (Sample) flow includes the logic for when the email is sent. Modify the flow criteria to fit your organization's needs. Learn more in Create or Modify a Flow.

Use a Flow to Share Related Records with Collaborators (Optional)

Skip this step if your organization's external sharing model is set to Read/Write or you don't want collaborators in the grants portal to see details beyond what's in the Funding Request.

The Funding Request and records related to the Funding Request are automatically shared with collaborators through a public group. The Applying Organization and Applying Contact records aren't shared in the public group, and these fields are blank for collaborators in the grants portal unless you explicitly share the records.

Activate the Grants Management: Share Account and Contact with Collaborators (Sample) flow to share the applying organization's information. Modify the flow if you need to share additional records with collaborators.

The Share Account and Contact with Collaborators (Sample) flow:

• Assumes Contact sharing is set to Controlled by Parent.

• Isn't active by default. Activate and test this flow in a sandbox before using it in production. Record sharing in Salesforce is highly dependent on your org's configuration.
