          Create Multiple Applications Using Flow

          Your organization may have need to have more than one application form. For example, a grant application may look and function different from a scholarship application. You can designate a specific application on a Funding Program using flows and the Application Form field.

          Note
          Note Follow these steps each time you add a new flow for an application form to make sure the flow's API name is added to the Application Form field values.
          • 1. Create a New Flow
            You can create a new flow by cloning an existing flow or starting from scratch. The Create Application flow is already included in Grants Management, so we'll clone it to get started.
          • 2. Activate the Flow
            Activate the flow so it can be assigned in a Funding Program's Application Form field.
          • 3. Get the Flow API Name
            Find the flow's API name to add to the Application Form field.
          • 4. Add the API Name
            Add the API name of the flow to the Application Form field's values. The values available in the Application Form field are dependent on having an active flow and adding the flow's API Name as a value to the Application Form field on the Funding Program.
          • 5. Assign a Flow to a Funding Program
            Assign the flow you created on a Funding Program. The options in the Application Form field are dependent on the values that exist in the Application Form field in the previous step.

          1. Create a New Flow

          You can create a new flow by cloning an existing flow or starting from scratch. The Create Application flow is already included in Grants Management, so we'll clone it to get started.

          Clone and save the flow.

          1. Click Setup icon, then click Setup.

          2. Enter Flows in the Quick Find box, then click Flows.

          3. Click Create Application.

          4. Click Save As.

          5. Click A New Flow.

          6. Enter a Flow Label.

          7. The Flow API Name autopopulates, but can be updated. Once the flow is saved, you won’t be able to update the Flow API Name.

          8. Optionally, enter a Description.

          9. Click Save.

          From here, build a flow tailored to your organization’s needs. We recommend reviewing Build a Flow in Salesforce Help for details on creating flows.

          2. Activate the Flow

          Activate the flow so it can be assigned in a Funding Program's Application Form field.

          1. Click Setup icon, then click Setup.

          2. Enter Flows in the Quick Find box, then select Flows.

          3. Click the down arrow button (Show more action button) for the flow, then select View Details and Versions.

          4. Click Activate.

          Activate the flow.

          3. Get the Flow API Name

          Find the flow's API name to add to the Application Form field.

          Locate the Flow API Name.

          1. Click Setup, then click Setup.

          2. Enter Flows in the Quick Find box, then select Flows.

          3. Click the down arrow button (Show more action button) for the flow, then select View Details and Versions.

          4. Click Save.

          5. Copy the Flow API Name. This is needed for the next step. 

          4. Add the API Name

          Add the API name of the flow to the Application Form field's values. The values available in the Application Form field are dependent on having an active flow and adding the flow's API Name as a value to the Application Form field on the Funding Program.

          1. Click Setup, then click Setup.

          2. Click Object Manager.

          3. Click Funding Program.

          4. Click Fields & Relationships.

          5. Click Application Form.

          6. Under Values, click New.

          7. Enter the Flow API Name, then click Save.

          5. Assign a Flow to a Funding Program

          Assign the flow you created on a Funding Program. The options in the Application Form field are dependent on the values that exist in the Application Form field in the previous step.

          1. Click App Launcher (App Launcher), then search for and select Funding Programs.

          2. Click a Funding Program.

          3. Click the pencil icon (Pencil icon) next to Application Form.

            Note Unable to see or update the Application Form field? Ask your admin for access. Learn more in Set Field-Level Security.
          4. Select a flow. For this example, we’d select the flow we just created—Create_Application _Relief_Reinvestment.

            Select the flow from the Application Form field.
          5. Click Save.

          Note
          Note An error occurs for the grantseeker if a flow isn't assigned to the Application Form field.
