          Provide a simple way for grantseekers to request an update to their organization’s information.

          • Learn About Account Update Requests
            An Account Update Request is a way for a grantseeker to share their organization's information with you and have their organization associated with their Contact record. When a grantseeker starts a request, they complete a form with important information about their organization, such as the organization's name, address, and phone number. This information comes to your org in the form of a Case. After a grantmaker reviews the request, the request is either reviewed and approved or denied through deleting the Case or simply not acting on it.
          • Set Up Matching and Duplicate Rules
            The way an Account Update Request is processed is dependent on the grantmaker’s actions and your org’s duplicate and matching rules. If duplicate and matching rules aren’t set up, a new Account will be created for the organization when the request is approved, even if there is an existing Account.

          Learn About Account Update Requests

          An Account Update Request is a way for a grantseeker to share their organization's information with you and have their organization associated with their Contact record. When a grantseeker starts a request, they complete a form with important information about their organization, such as the organization's name, address, and phone number. This information comes to your org in the form of a Case. After a grantmaker reviews the request, the request is either reviewed and approved or denied through deleting the Case or simply not acting on it.

          So what happens when a request is approved?

          There are a few paths an Account Update Request can take when a grantmaker processes it, depending on your org's duplicate and matching rules.

          • If a grantseeker submits a request for an organization that doesn’t have an existing Account record, an Account is created for the organization and is associated with the grantseeker’s Contact. For example, a new grantseeker, Ali Melik, submits a request for the Portree Arts Council. Since the Portree Arts Council is a new organization, an Account is created for them. The Portree Arts Council Account is also associated with Ali’s Contact record.

          • If a grantseeker submits a request for an organization with an existing Account, the existing Account is associated with the grantseeker’s Contact. For example, a newly hired program officer, Ellen Perez, submits a request to associate her organization, STEPS, to her profile in the grantee portal. STEPS is a long-standing grantee and has an existing Account. Depending on the duplicate and matching rules set up by an org, the grantmaker can select the existing Account record for STEPS, which is then associated with Ellen’s Contact record.

          • If an Account is created that's a duplicate of an existing Account, a new Account is created for the grantseeker’s organization despite the matching Account. For example, the Six Sides Fund has a duplicate rule that matches on the address field. Two grantseeking organizations, STEPS and Portree Arts Council, have a co-shared workspace. Since both STEPS and Portree Arts Council have the same address, a separate Account exists for each organization.

          Set Up Matching and Duplicate Rules

          The way an Account Update Request is processed is dependent on the grantmaker’s actions and your org’s duplicate and matching rules. If duplicate and matching rules aren’t set up, a new Account will be created for the organization when the request is approved, even if there is an existing Account.

          Create a Matching Rule

          1. Click Setup icon, then click Setup.

          2. Enter Matching in the Quick Find box, then click Matching Rules.

          3. Click New Rule.

          4. Select an Object. For example, Account.

          5. Click Next.

          6. Enter a Rule Name. For example, Account Name Matching Rule.

          7. Optionally, enter a Description.

          8. Select a Field. For example, Account Name.

          9. Select a Matching Method, such as Exact or Fuzzy.

          10. Select Match Black Fields if you want blank fields to be considered matches on your matching rule. Otherwise, leave unselected.

          11. Click Save.

          12. Click Activate.

          Create a Duplicate Rule

          1. Click Setup icon, then click Setup.

          2. Enter Duplicate in the Quick Find box, then click Duplicate Rules.

          3. Click New Rule, then select an object. For example, select Account.

          4. Enter a Rule Name, such as Account Name Duplicate Rule.

          5. Optionally, enter a Description.

          6. Select if you want to enforce sharing rules or bypass sharing rules. In this example, select Enforce sharing rules.

          7. Select Block from Action On Create and Action On Edit.

          8. Select the matching rule that was just created. For example, Account Name Matching Rule.

          9. Optionally, select conditions for the duplicate rule to run.

          10. Click Save.

          11. Click Activate.
