          Address

Address represents a home, seasonal, or other address for a Contact or Account.

          • Sample Uses for Address
Keeping address data up-to-date helps you reach students, households, and other constituents with essential information and services. The Address object tracks address details for related Contact and Account records, so you can track the many addresses associated with a person, a household, or other entities.
          • Configure Address
Keep the Address object up to date.
          • Create an Address Record
Create an address record from the Addresses related list for an account or contact.
          • Edit Addresses
Update an address record from the Addresses related list for an account or contact.
          • Mark an Address as Inactive
When someone moves and doesn’t provide an updated address, or when an address shouldn’t receive mail for some other reason, mark the address as inactive.
          • Specify a Seasonal Address
You can set up a Seasonal Address with start and end dates for a Contact or Account, so that the Seasonal Address is automatically set as the Mailing Address at the specified start date. When the end date is reached, Salesforce copies the original Address back to the Address fields.

Keeping address data up-to-date helps you reach students, households, and other constituents with essential information and services. The Address object tracks address details for related Contact and Account records, so you can track the many addresses associated with a person, a household, or other entities.

          • University—Track a student's address during the school year separately from their permanent home address.

          • K-12—Track the two household addresses that a student splits time between.

          • Any educational institution—Track a seasonal address for a household separate from its primary residence.

          Keep Up with Address Updates

Consider these updates, depending on which version of K-12 Architecture Kit you originally installed.

          If Installed Before Version

          Configuration Task
1.22 Add the Inactive checkbox to your Address page layouts, as needed. For more information, see Add Custom Fields and Picklist Values.

          1.16

Add the Mailing County field to your Address page layouts, as needed.

Learn about updating page layouts in Display a New Custom Object After a Product Release.

          Create an Address Record

Create an address record from the Addresses related list for an account or contact.

The first address you enter on a Contact or Account record (in the Mailing Address or Billing Address fields) becomes the Default Address for the Contact or Account. If multi-addresses is enabled in your org, you can add other addresses, such as a home address, an office address, or a seasonal address.

Here we show how to create an additional Address record for a Contact or Account using the Addresses related list. We're not directly editing the Mailing Address or Billing Address fields on the Contact or Account record.

          1. Go to the Contact or Account record requiring a new address.
          2. Click the Related tab.
          3. In the Addresses related list, click New.
          4. Fill in relevant Address details, such as Mailing Address, City, State, and Zip Code.

If you're creating the Address from an Account record, the Parent Account field is automatically populated with the Account name. Likewise, if you're creating the Address from a Contact, the Parent Contact field is automatically populated with the Contact name.

Create Address form shows the Parent Contact field populated when the Address is being created from a Contact record.
            Important
Important If you select the Default Address field, this Address becomes the default and is copied to the Mailing Address or Billing Address fields on the Contact or Account record. If the Contact's container Account is a Household Account, the Default Address is also copied to the Household Account Billing Address fields.
          5. Click Save when you're done. Or click Save & New to create another Address record.

          Edit Addresses

Update an address record from the Addresses related list for an account or contact.

If you need to update an address in an org with multi-addresses enabled, we recommend editing the Address record instead of the Billing Address fields on an Account record or the Mailing Address fields on a Contact record. If you edit the address fields on the Account or Contact, sometimes an additional Address record is created for the updated data.

          Note
Note A simple address change, such as fixing a typo or updating a single address field, is not treated as an update if the Simple Address Change Treated as Update setting is enabled. For details, see Manage Simple Changes to Address Records.
          1. Go to the Account or Contact record requiring an address update.
          2. In the Addresses related list, click actions menu in the Address row you're updating, and then click Edit.
Access the Edit action in the Address row you're updating.
          3. Edit the address.
          4. Click Save.

If the Address was marked as the Default Address for the Account or Contact, your changes appear in the change affects the Billing or Mailing Address fields as well.

          Important
Important If you're not using multiple addresses, just edit the address directly on the Contact or Account record. The instructions here apply to editing Address records for Contacts and Accounts with multiple addresses turned on.

          Mark an Address as Inactive

When someone moves and doesn’t provide an updated address, or when an address shouldn’t receive mail for some other reason, mark the address as inactive.

          • For a Household and other types of Account, navigate to the Account with the address that you want to update. In the Addresses related list, click the action menu for the Address and select Edit. Select Inactive and save your changes.

          • For a Contact, navigate to the Contact with the address you want to update. In the Addresses related list, click the action menu for the Address and select Edit. Select Inactive and save your changes.

          Specify a Seasonal Address

You can set up a Seasonal Address with start and end dates for a Contact or Account, so that the Seasonal Address is automatically set as the Mailing Address at the specified start date. When the end date is reached, Salesforce copies the original Address back to the Address fields.

To set up a Seasonal Address:

          1. Create a new address for the Contact or Account, and enter the Address information.
          2. Enter the Seasonal Information: Seasonal Start Month, Seasonal Start Day, Seasonal Start Year, Seasonal End Month, Seasonal End Day, and Seasonal End Year. Note that you can leave the year fields blank if you want the Seasonal Address to replace the current Address at the same time every year.
          3. Click Save.
          4. When the Seasonal Address start date is reached, Salesforce automatically copies the Address to the Address fields on the Contact or Account record. If it's a Household Account, Salesforce also copies the seasonal address to the Mailing Address for all related Contacts who don't have Do Not Automatically Update enabled.

          Note
Note Salesforce runs the scheduled job that sets seasonal addresses as the mailing address once per night. If you set up a new Seasonal Address that should be in effect on January 1st, for example, you won't see it copied to the Mailing Addresses until the next day (January 2nd), after the nightly scheduled job has run. The exception to this is when you set the start date for the Seasonal Address to today's date—in this case, the change will take effect immediately.
