          Configure Address Settings

          Manage and edit addresses for Contacts and Accounts in EDA.

          • Before You Begin
            EDA allows you to track and manage one or more addresses for Contacts and Accounts. Use EDA Address Settings to configure multiple addresses and to determine how EDA handles simple updates to Address records.
          • Configure Multiple Addresses for Contacts
            Multiple addresses are on by default for Contacts, which allows you to track and manage multiple mailing addresses for Contacts by using Address object records.
          • Configure Multiple Addresses for Household Accounts
            Multiple addresses for Household Accounts are always turned on in EDA. They can't be turned off. In EDA Address Settings, in the Enable Multiple Addresses for Account Types table, moving Household Account between Available Account Record Types and Selected Account Record Types doesn't affect the availability of multiple addresses for Household Accounts.
          • Configure Multiple Addresses for Administrative Accounts
            Multiple addresses are on by default for Administrative Accounts, which allows you to save multiple Address records for an Account. However, additional addresses are not synchronized with the Contact under the parent, container Administrative Account. With multiple addresses off for Administrative Accounts, one Billing Address is stored on the Account record.
          • Configure Multiple Addresses for Other Accounts
            Multiple addresses are on by default for Business Organization Accounts and off by default for all other institutional and organizational Account record types: Academic Program, Educational Institution, Sports Organization, and University Department.
          • Manage Simple Changes to Address Records
            When using multiple addresses, by default EDA creates a new Address record every time you update an Address record. Sometimes, however, you only need to make a minor change—fix a typo or an incorrect house number, for example. For those types of minor updates, you can instruct EDA to update the existing Address record rather than create a new record, using the Update Address Records for Simple Changes setting in EDA Settings.

          Before You Begin

          EDA allows you to track and manage one or more addresses for Contacts and Accounts. Use EDA Address Settings to configure multiple addresses and to determine how EDA handles simple updates to Address records.

          Address Settings in EDA Settings

          Before configuring EDA Address Settings, make sure you understand when and how EDA synchronizes multiple addresses across the Contact, Account, and Address objects, and determine where and when you want to use multiple addresses. See Understand Addresses in EDA.

          For information about creating and editing Address records, see Address.

          Configure Multiple Addresses for Contacts

          Multiple addresses are on by default for Contacts, which allows you to track and manage multiple mailing addresses for Contacts by using Address object records.

          If you're using Household Accounts as the default account model, turning off multiple addresses for Contacts doesn't do anything; all the rules for syncing address data between Contact, Account, and Address records still apply. Turning off multiple addresses for Contacts only affects Contacts that have an Administrative Account or an organizational Account as their parent Account, and only if you've turned off multiple addresses for those Account types. If so, one mailing address is stored on the Contact record.

          1. From Education Cloud Settings, under Education Data Architecture, click Settings.
          2. In EDA Settings, click Addresses and then click Edit.
          3. Select or deselect Allow Multiple Contact Addresses.
          4. Save your changes.

          Configure Multiple Addresses for Household Accounts

          Multiple addresses for Household Accounts are always turned on in EDA. They can't be turned off. In EDA Address Settings, in the Enable Multiple Addresses for Account Types table, moving Household Account between Available Account Record Types and Selected Account Record Types doesn't affect the availability of multiple addresses for Household Accounts.

          If it's essential that you do not have multiple addresses enabled on Household Accounts, create a custom Account record type to represent households, and turn off multiple addresses for that Account type. See Verify or Change the Record Types Used for Administrative and Household Accounts.

          Configure Multiple Addresses for Administrative Accounts

          Multiple addresses are on by default for Administrative Accounts, which allows you to save multiple Address records for an Account. However, additional addresses are not synchronized with the Contact under the parent, container Administrative Account. With multiple addresses off for Administrative Accounts, one Billing Address is stored on the Account record.

          1. From Education Cloud Settings, under Education Data Architecture, click Settings.
          2. In EDA Settings, click Addresses and then click Edit.
          3. To disable multiple addresses for Administrative Accounts, under Enable Multiple Addresses for Account Types, move Administrative from Selected Account Record Types to Available Account Record Types.
          4. Save your changes.

          Configure Multiple Addresses for Other Accounts

          Multiple addresses are on by default for Business Organization Accounts and off by default for all other institutional and organizational Account record types: Academic Program, Educational Institution, Sports Organization, and University Department.

          When multiple addresses are on for these Account types, additional addresses are saved as Address records and are not synchronized with their related Contacts. With multiple addresses off for these Account types, one Billing Address is stored on the Account record.

          1. From Education Cloud Settings, under Education Data Architecture, click Settings.
          2. In EDA Settings, click Addresses and then click Edit.
          3. Under Enable Multiple Addresses for Account Types, move an Account type to Selected Account Record Types to turn on multiple addresses, or move it to Available Account Record Types to turn off multiple addresses.
          4. Save your changes.

          Manage Simple Changes to Address Records

          When using multiple addresses, by default EDA creates a new Address record every time you update an Address record. Sometimes, however, you only need to make a minor change—fix a typo or an incorrect house number, for example. For those types of minor updates, you can instruct EDA to update the existing Address record rather than create a new record, using the Update Address Records for Simple Changes setting in EDA Settings.

          By default, Update Address Records for Simple Changes is off, which means that EDA creates a new Address record even for simple changes. If you turn it on, this setting tells EDA to not create new Address records for these minor changes:

          • Changes to capitalization in one or more mailing fields

          • Adding or removing spaces in one or more mailing fields

          • Changing the value in any one of these fields:

            • Mailing Street

            • Mailing Street2

            • Mailing City

            • Mailing State/Province

            • Mailing Zip/Postal Code

            • Mailing Country

            • Mailing County

            • Address Type

          Here are some examples of simple changes.

          • Changing the Mailing Street from 123 Mission Street to 415 Mission St.

          • Changing the Mailing City from Sanfrancisco to San Francisco

          • Changing the Mailing State/Province from TX to California

          EDA still creates a new Address record for changes that are more complex, including changing values in two or more mailing fields.

          To turn on Update Address Records for Simple Changes:

          1. From Education Cloud Settings, under Education Data Architecture, click Settings.
          2. In EDA Settings, click Addresses and then click Edit.
          3. Select Update Address Records for Simple Changes.

          4. Save your changes.
