Configure Relationships Settings

In EDA Settings, click Relationships and configure the details of creating Reciprocal Relationships and auto-creating Relationships.

  • Overview
    The Relationship object represents relationships between people, on or off campus, at your institution. You can track the status and type of relationship between two contacts using the fields on Relationship records.
  • Configure the Reciprocal Method
    The Reciprocal Method setting determines how Salesforce creates Reciprocal Relationships. There are two methods: the List Setting method and the Value Inversion method.
  • Custom Reciprocal Relationships
    Whether you use List Setting or Value Inversion to create Reciprocal Relationships, additional configuration is sometimes required to customize the default values. Review the usage and configuration details in this table to see if they apply.
  • Add or Edit Reciprocal Settings
    Reciprocal relationship settings define the types of relationships that you track between Contacts. Edit the provided values or add others as needed.
  • Example Custom Reciprocal Settings
    In addition to the default list of Reciprocal Settings for Reciprocal Relationships, you can add other Reciprocal Relationships to better represent your contacts' roles. Here are a few ideas depending on the type of relationships.
  • Add or Edit Auto-Create Settings
    Auto-created Relationships allow a custom Contact lookup field on the Contact or Campaign Member object to automatically create a new Relationship.
  • Prevent Duplicate Relationships
    By default, if an existing Relationship between two Contacts has the same Type as a Relationship that would be auto-created based on your settings, a duplicate Relationship can't be created. If you prefer to allow Relationship auto-creation even when it duplicates existing Relationships, edit the Prevent Duplicate Relationships setting.

Overview

The Relationship object represents relationships between people, on or off campus, at your institution. You can track the status and type of relationship between two contacts using the fields on Relationship records.

When you create one relationship record, the Reciprocal Relationship feature creates a corresponding record for the other contact. For example, a Contact might have a Relationship record that connects her as a daughter to a Contact who’s her father. When you create that relationship record, EDA automatically creates a Reciprocal Relationship for the related Contact with a type of Father.

Configure the Reciprocal Method

The Reciprocal Method setting determines how Salesforce creates Reciprocal Relationships. There are two methods: the List Setting method and the Value Inversion method.

List Setting

The values in the Reciprocal Settings list determine the Type of Reciprocal Relationship that's created.

For example, if you create a Relationship from a male-gendered Contact record with the Type Son, EDA automatically creates a Reciprocal Relationship of Father on the son's record. Father and Son are preconfigured values in the Reciprocal Settings list.

Most orgs use List Setting, which is the default Reciprocal Method.
Value Inversion

EDA reverses the Type value on a Relationship record to reflect the reciprocal relationship.

For example, a Mother-Daughter Type of Relationship creates a reciprocal Type of Daughter-Mother. Value Inversion ignores the Reciprocal Settings list. Create picklist values on the Relationship object's Type field for Mother-Daughter, Daughter-Mother, and all other possible combinations. This example shows the word pair inverted around a hyphen, which is the default delimiter separating the Relationship roles.

Verify the selected Reciprocal Method, and change it if needed.

  1. Click the Education Cloud Settings tab. If you don't see the Education Cloud Settings tab, access it from App Launcher. For details, see Education Cloud Settings.

  2. Under Education Data Architecture, click Settings.

  3. Click Relationships and verify the Reciprocal Method value.

  4. To change the Reciprocal Method:

    1. Click Edit.

    2. Select a different value.

    3. Save your changes.

Custom Reciprocal Relationships

Whether you use List Setting or Value Inversion to create Reciprocal Relationships, additional configuration is sometimes required to customize the default values. Review the usage and configuration details in this table to see if they apply.

List Setting

Because some Reciprocal Settings' values are gender-specific, gender data is involved in determining Type values.

  • Gender and Salutation fields—The Reciprocal Settings look in a Contact's Gender field for the values of Female or Male. If the Contact's gender isn't yet determined, the Reciprocal Settings look in the Salutation field for the Female and Male values. If the gender remains undetermined, the Reciprocal Setting's value is Neutral.
  • Female and Male custom labels—The values in the Female and Male custom labels determine how Gender picklist values and Salutation picklist values map to Female or Male. To allow more gender options than the default values of Female and Male, add values to these custom labels. Separate additional values with a comma. For example, let's say that you add Trans Woman to the Female custom label value to become Female,Trans Woman. Then a gender of Trans Woman or Female would be considered Female.
Value Inversion

The delimiter that separates each Contact's role in the Relationship is specified in the Relationship_Split custom label. You can edit the custom label value to use a different delimiter than the default hyphen delimiter, as used in the Mother-Daughter example.

Edit Custom Reciprocal Relationship Values

  1. From Setup, in the Quick Find box, enter Custom Labels, then select Custom Labels.

  2. Click Edit next to the custom label, such as Female, Male, or Relationship_Split.

  3. Edit the Value as described in Custom Reciprocal Relationships.

  4. Save your changes.

Add or Edit Reciprocal Settings

Reciprocal relationship settings define the types of relationships that you track between Contacts. Edit the provided values or add others as needed.

Salesforce names a relationship based on a Contact’s gender. Let's consider an example involving sibling relationships.

First, create a reciprocal setting named Brother and specify the Reciprocal Relationship values that you want to create. After you add the new values to the Reciprocal Settings list, when you save a Relationship record with a Type (Name) of Brother, you also create a Reciprocal Relationship with one of the values specified for Female, Male, or Neutral. The List Setting method's rules that determine gender determines the gender for each Contact. We conclude our example here, but it's incomplete. Because the Contact's gender and the related (reciprocal) Contact's gender can be known or unknown, create two more reciprocal settings—one named Sister and one named Sibling—to account for other possible combinations.

To add to the Reciprocal Settings list or to edit existing settings:

  1. In Education Cloud Settings, click Reciprocal Settings.

  2. To create a mapping, click Add Setting.

  3. Fill out the fields, select Active, and save your changes.

  4. To change an existing setting, click Actions menu icon for the mapping you want to change and then click Edit.

  5. Make and save your changes.

Example Custom Reciprocal Settings

In addition to the default list of Reciprocal Settings for Reciprocal Relationships, you can add other Reciprocal Relationships to better represent your contacts' roles. Here are a few ideas depending on the type of relationships.

Add or Edit Auto-Create Settings

Auto-created Relationships allow a custom Contact lookup field on the Contact or Campaign Member object to automatically create a new Relationship.

For example, you can create a Referee lookup field on the Campaign Member object to track the person who introduced someone to your institution. Then create an Auto-Create Setting to automatically create Referrer and Referee Relationships between the Contacts.Before adding an Auto-Create setting, complete these prerequisites.

Note Auto-created Relationships aren't available for Leads or Campaign Member objects that reference Leads.

  • Create a custom Contact lookup field on either the Contact or Campaign Member object. In our example, we create a Referee lookup field on Campaign Member.

    Tip
    Tip Remember to add the new field to your Campaign Member page layout and set field-level security appropriately.

  • Make sure that the Relationship object's Type field has picklist values that reflect the type of Relationship represented by the lookup relationship. Continuing our example, we add values for Referrer and Referee.

  • If you're using the List Setting method, ensure that existing Reciprocal Settings reflect the type of Relationship represented by the lookup relationship. In our example, we add settings named Referee and Referrer.

To add an Auto-Create setting:

  1. In Setup, in the Quick Find box, enter Custom Settings, and then select Custom Settings.

  2. Next to Relationship Auto-Create, click Manage, and then click New.

  3. Enter Relationship Auto-Create Information.

    1. Enter a name for the Relationship Auto-Create. For example, Referee.

    2. If the lookup field is on the Campaign Member object, enter the Campaign Type that this Auto-Create Setting applies to. Separate multiple values with semicolons and no spaces.

    3. Enter the label of the lookup field that triggers the creation of the Relationship.

    4. Enter the object that has the lookup field. For example, either Campaign Member or Contact.

    5. Enter the type of Relationship that you want to create. For example, Referrer. The Reciprocal Relationship is created automatically after you add the setting.

  4. Save your changes.

If you're deleting an existing Auto-Create setting, be sure to click Edit and then click the trash icon. Don't modify the field values in the setting you're removing before deleting it.

Prevent Duplicate Relationships

By default, if an existing Relationship between two Contacts has the same Type as a Relationship that would be auto-created based on your settings, a duplicate Relationship can't be created. If you prefer to allow Relationship auto-creation even when it duplicates existing Relationships, edit the Prevent Duplicate Relationships setting.

  1. Click the Education Cloud Settings tab. If you don't see the Education Cloud Settings tab, access it from App Launcher. For details, see Education Cloud Settings.

  2. Under Education Data Architecture, click Settings.

  3. Click Prevent Duplicate Relationships.

  4. Click Edit and turn the setting off.

  5. Save your changes.
