          Course Connection

          Course Connection

          Course Connection represents a relationship between a Contact, such as a student or faculty member, and a Course Offering.

          Sample Uses for Course Connection

          The Course Connection object is used similarly in both K-12 and higher education.

          • Any educational institution—Track a student's enrollments in completed and in-progress Course Offerings. Track a faculty member's involvement with Course Offerings as an instructor, advisor, or other role.

          Course Connection Record Types

          If your version of software doesn't include these record types, you can either run the installer or create them manually.

          • Student—Tracks a student's enrollment in a Course Offering.
          • Faculty—Tracks a faculty member's involvement with a Course Offering.
          Note
          Note If your software version includes the preconfigured Student and Faculty record types, it also includes an additional record type, called Default. The Default record type isn't needed for Course Connections to function. To prevent confusion, we recommend hiding it from all user profiles except the System Administrator profile.
          1. Click Setup, then click Setup.
          2. Search for then select Profiles.

          3. For each profile that interacts with Course Connection record types, edit the profile's Record Type Settings for Course Connections to make sure that Default is not one of the Selected Record Types.

          Configure Course Connection

          Get ready to use the Course Connection object and keep it up to date.

          Course Connections are enabled by default in most orgs and the following configuration doesn't apply. However, if they're not enabled in your org, or if you started using EDA with version 1.15 and the now-retired Course Enrollment object is enabled, we recommend that you complete these configuration steps to enable Course Connections.

          Note
          Note We encourage you to enable Course Connections, but if you don't, you can continue using Course Enrollments without record types. Whichever method you use, Course Enrollments are renamed Course Connections in all orgs.
          • Keep Up with Course Connection Updates
            Consider these updates, depending on which version of K-12 Architecture Kit you originally installed.
          • Create Course Connection Record Types
            The installer creates a Student record type and a Faculty record type for Course Connections, but you can also create your own record types.
          • Enable Course Connections
            After verifying that you have student and faculty record types, you're ready to enable Course Connections.
          • Set Record Types for Course Connections
            When Course Connections are enabled, specify the record type that's used for each type of Course Connection, one each for student and faculty member.
          • Update Legacy Course Enrollment Data
            If you're turning on Course Connections for the first time in an org where Course Offerings and Course Connections (Enrollments) previously existed, update Course Connections with the appropriate record types. Updating faculty Course Connections to the value in Default Faculty Record Type and all other Course Connections to the value in Default Student Record Type enables automation, such as the assignment of Primary Faculty on Course Offering records, to occur.

          Keep Up with Course Connection Updates

          Consider these updates, depending on which version of K-12 Architecture Kit you originally installed.

          • Add these picklist values to the Status picklist.

            • Audited

          Create Course Connection Record Types

          The installer creates a Student record type and a Faculty record type for Course Connections, but you can also create your own record types.

          For example, you might want to create a Teaching Assistant record type. At a minimum, you must have one record type for students and one for faculty.

          Note
          Note If you've already created your own student and faculty record types, you don't need to add more. Simply map them to the Default Student Record Type and Default Faculty Record Type in Course Connection Record Types in EDA Settings (see Set Record Types for Course Connections).

          To access the management settings for Course Connection record types:

          1. Click Setup, then click Setup.
          2. Click Object Manager.

          3. Click Course Connection, then click Record Types.

          4. Create both required record types. For details, see Create Record Types in Salesforce Help.

          Enable Course Connections

          After verifying that you have student and faculty record types, you're ready to enable Course Connections.

          1. In EDA Settings, select Course Connection Record Types.
          2. If Course Connection Record Types isn't enabled, click Edit, turn it on, and click Save.

          Set Record Types for Course Connections

          When Course Connections are enabled, specify the record type that's used for each type of Course Connection, one each for student and faculty member.

          1. In EDA Settings, select Course Connection Record Types.

          2. Click Edit.

          3. In Default Student Record Type, select Student or a custom record type of your choosing.

          4. In Default Faculty Record Type, select Faculty or a custom record type.
          5. Save your changes.

          Update Legacy Course Enrollment Data

          If you're turning on Course Connections for the first time in an org where Course Offerings and Course Connections (Enrollments) previously existed, update Course Connections with the appropriate record types. Updating faculty Course Connections to the value in Default Faculty Record Type and all other Course Connections to the value in Default Student Record Type enables automation, such as the assignment of Primary Faculty on Course Offering records, to occur.

          1. In EDA Settings, select Legacy Course Enrollment Data.
          2. Click Update.
          3. In the confirmation window, click Update.

          Create a Course Connection Record

          Before you create a Course Connection record, create the Contact and Course Offering records that are connected by the Course Connection.

          1. From the Contact record for the student or faculty member that you're creating a Course Connection for, click New in the Course Connections related list.
            Tip
            Tip You can instead create the Course Connection from the Contact's Program Enrollment record. Creating it there makes sure that the Program Enrollment ID is automatically populated. Otherwise, look up the Program Enrollment ID on the Contact's Program Enrollments related list and keep it handy.
          2. Select the Student or Faculty record type (or one of your org's custom record types).
          3. Enter Course Connection details. Don't change the Contact name.
          4. If the Course Connection is for a faculty member, select Primary if the Contact should be the main faculty member for the related Course Offering. The Primary checkbox applies only for connections with the Faculty record type. Selecting Primary for a new Contact removes the Primary status from a previously selected primary Contact, but leaves that Contact's Course Connection and Affiliation records intact.
            Note
            Note If the Primary status of a Course Connection changes, the Status field doesn't update from Current to Former. To change Course Connections that were previously marked as Primary to reflect a Status of Former, you need to create custom automation.
          5. Save your changes.

          The newly created Course Connection now shows on the Contact record.
