Sample Uses for Program Plan

The Program Plan object represents a snapshot in time of the requirements for a specific student cohort enrolling in an Academic Program. The program itself tends to be a reliable offering year after year, while the requirements for completion tend to evolve over time. Use Program Plan along with the Academic Program (Account) record type and the Plan Requirement object to manage your requirements data.

• University—Represent the academic plan for a degree or credential offering. For example, a Biology Catalog Year 2017/2018 Program Plan record represents a snapshot in time of the requirements for a specific student cohort enrolling in the BS Biology Academic Program. 

• K-12—Represent the academic plans for a student's post-graduation path. For example, Program Plan records such as College Prep Plan, Vocational Plan, and Life Skills Plan can be created for students enrolling in a Graduation Academic Program.

Configure Program Plan

Set up and maintain the Program Plan object in K-12 Architecture Kit.

  It's essential to understand how to manage Program Plan data and configure related settings.

Create a Program Plan Record

Typically, your institution has already created Academic Program records to represent all of the programs on offer. Now, for a given Academic Program, create a Program Plan record for the current academic year, or perhaps for a previous or future academic year.

1. Go to the Program Plans tab and click New. If you don't see the tab, find it from the App Launcher.

2. Enter relevant details, noting these fields in particular.

   

   • Program Plan Name—Enter a name representing a versioned set of degree requirements, such as Biology Catalog Year 2017/2018. In this example, it represents the current academic year’s plan and requirements for earning an undergraduate Biology degree. For the next year, create a separate Program Plan record, Biology Catalog Year 2018/2019, to represent the latest plan and requirements.

   • Account—Start typing the name of the Academic Program, and select it when you see it suggested. For example, BS Biology.

   • Start Date and End Date—Specify the plan's effective dates, which are typically bookended by the first date when students can enroll in the Academic Program, and the last possible date of enrollment eligibility.

   • Status—If the plan still applies to some enrollees, select Current. Otherwise, select Archive.

   • Version—Enter additional version information that's not reflected in the Program Plan Name.

   • Is Primary—If this Program Plan is in effect for current enrollees, select Is Primary. Doing so automatically deselects the Is Primary field on a previous year's Program Plan and relates this Program Plan record to students' Program Enrollment records, so that new enrollees are always assigned the most current catalog of degree requirements.

     

     Note After a Program Plan is assigned to a student, it remains in effect for the duration of the student's enrollment in the program—even if subsequently a new plan is marked Primary and new enrollees are assigned the new plan. In other words, changing the Primary setting for a Program Plan doesn't affect previously assigned enrollees.
3. Click Save.

Things to Know About Maintaining Program Plan Data

By default, Program Plan records are related to Academic Program records, Plan Requirement records, and Program Enrollment records.

EDA K-12 Architecture Kit validates deletion of related records to prevent orphaned data.

• Before deleting an Academic Program record or a Program Enrollment record, you must first delete any related Program Plans.

  

  Tip It's easiest to edit these related records from the Program Plans related list.
