Record Visibility and Scheduled Jobs

When Records is enabled, only records that are shared with the partner user appear in objectives.

Each objective uses two scheduled jobs that run once every 24 hours. One job updates the current value. The other job automatically links qualifying records and unlinks records that no longer qualify.

Manual Record Selection

You can manually link or unlink a total of up to 50 records for an objective at a time. For example, you can link 10 records and unlink 40 records in one update. To change more than 50 records, save the objective, and then edit it again to make additional changes.

Even when Automatic Qualifying Record Management is enabled, you can manually select and deselect records while creating or editing an objective. Records that you manually select aren't automatically linked or unlinked by the scheduled job.

Note Don't select a record when you create an objective. If you select one, the scheduled job doesn't remove it if the record no longer qualifies.

Automatic Record Management

When Automatic Qualifying Record Management is enabled, records qualify if they meet all these criteria:

• They're shared with the partner user.
• Their last modified date falls between the objective start and end dates.
• They qualify for the calculation definition.

A scheduled job runs every 24 hours to link or unlink records based on their eligibility. Records can change after you last review them.

Before enabling Automatic Qualifying Record Management, make sure that the objective start and end dates are 1 through 90 days apart.

Update Timing

When you edit an objective, the timing of updates depends on how many records qualify.

• If 50 or fewer records qualify, including manually selected and automatically selected records, the current value updates immediately. The records are linked the next time the scheduled job runs.
• If more than 50 records qualify, the current value updates a few hours after the scheduled job links the qualifying records.

Check the current value's last modified time to estimate when the next scheduled job runs.
