Link Records to a Joint Business Plan Objective

Automatic Linking

Turn on Automatic Qualifying Record Management for an objective to find and link qualifying records. A record qualifies when it meets all these conditions:

• The record is shared with at least one partner user associated with the joint business plan’s partner account.
• The record’s last modified date is within the objective’s start and end dates. Note the maximum duration allowed between start and end date is 90 days.
• The record meets the objective’s calculation definition.

Salesforce evaluates records asynchronously, so the objective’s metric can temporarily display zero while the first calculation is in progress. A daily scheduled process reevaluates automatically linked records and updates the objective when record details or sharing access change.

Salesforce automatically links up to 2500 qualifying records to an objective. If more than 500 records qualify, Salesforce selects the most recently updated records.

Manual Linking

Manually link or unlink records only when you want to override automatic selection. For example, manually link a record that automatic selection doesn’t identify, or unlink an automatically selected record that you don’t want included in the objective.

Salesforce preserves your manual changes during future automatic evaluations:

• An automatically selected record that you manually unlink isn’t linked again automatically.
• A manually linked record isn’t removed by the daily automatic-selection process.
• Manually linked records don’t count toward the limit of 2500 automatically linked records.
• Manual selections remain in effect until a user changes them.

Note Manually linked records require manual deletion if conditions change, and the combined total of manual and automatic records cannot exceed 2,500 per objective.

When creating or editing an objective, you can select up to 50 records at a time. To add more, save your changes and reopen the objective for editing.
