Field Classification Filters and Use Cases

Field Classification Filters and Use Cases

Field Classification's advanced filters let you focus on the fields that matter, whether you're trying to identify high-traffic fields that carry real compliance risk or flagging empty fields that go unused and can be deprecated.

Available in: Lightning Experience
Available in: Enterprise and Unlimited Editions with the Security Center add-on license.
Available for free in: Developer Edition

By configuring and narrowing your Fields view, you can more easily understand and optimize your orgs' field usage. To understand the value and power of filters, check out these use cases.

Data Types

Certain Data Types are more likely to contain sensitive data or PII, such as Phone, Email, Address, or Currency. Use the data type to narrow down fields configured with data types that more commonly support sensitive data or to quickly fields with data types that most like do not contain sensitive data like checkboxes.

Number of Filled Records

Under Number of Filled Records, specify a minimum and/or maximum number of records to filter on fields related to objects with a large number of records filled.

Total Number of Records

Under Total Number of Records, specify a minimum and/or maximum number of records to filter which objects' fields are shown. This option filters fields shown based on how many records exist in the object overall, regardless of whether individual fields are filled.

Here are some examples of how to apply this filter.

Your org has 2,000 fields across all objects, but half of these fields belong to objects with zero records. If you want to focus only on fields from objects that are actively used, set the minimum number of total records to 1. This setting narrows the list to 1,000 fields.

If you want to focus on your highest-volume objects, for example objects with at least 100 records, set the minimum to 100.

If the Account object has 40 records and the Archive Configuration object has 0 records, setting a minimum of 1 excludes all Archive Configuration fields from the list since there's no data to classify. Use this filter to prioritize classification efforts on fields that belong to actively used objects, where data actually flows and fill rate analysis is meaningful.

Filled Record Percentage

Under Filled Record Percentage, specify a minimum and/or maximum percentage to filter which objects' fields are shown. This option filters fields shown based on what percent of an object's records contain data in a given field.

If you want to classify fields that are most frequently populated with data, set the minimum to 75% or 100% to narrow down only those fields that are relevant and consistently populated with data on any given object.

If the Account object has 200 records and the Industry field is filled in 180 of them (90%), but the Fax field is filled in only four of them (2%), setting a minimum of 75% excludes the Fax field from the list since almost no records use it. Use this filter to prioritize field classification efforts based on how consistently fields are populated, focusing on fields that are regularly used and thus have the greatest potential to contain sensitive data
