Key Roles in Ship and Debit Process Management

Ship and Debit Process Management users include admins, rebate program managers, partner users, ship and debit claim analysts, and the finance team. Admins set up and configure features. Rebate program managers design the ship and debit programs and special pricing terms based on requirements provided by sales and finance. Partner users are beneficiaries of ship and debit programs and enroll in programs to protect their margins. Ship and debit claims analysts validate ship and debit claims and review ship and debit payouts. The finance team tracks payments and approvals of payments and claims, helps with audits, and maintains the book of business.

Required Editions

Available in: Enterprise, Unlimited, and Developer Editions that have Ship and Debit Process Management enabled.

Admins

  • Apply integration techniques either to import transaction data from external systems into a custom object in the Salesforce org or to directly populate Transaction Journal records.
  • Set up org configurations, such as approval processes, and grant partners access to view program and payout details in the Experience Cloud site.
  • Consult sales executives and rebate program managers and customize workflows for ship and debit claims adjudication. Workflows include Data Processing Engine definitions, flows, Business Rules Engine expression sets, and Batch Management jobs.
  • Configure objects, edit page layouts, and design automated processes to enhance the experience of account managers and partners.

Rebate Program Managers

  • Create ship and debit programs and enroll members.
  • Define a ship and debit incentive structure with special pricing terms and benefits.
  • Consult finance teams and adjust claims, and track real-time updates for claims.

Partner Users

  • Maintain and submit ship and debit claims and invoices by using Experience Cloud sites.
  • Track ship and debit programs and special pricing terms to understand which claims qualify for special pricing terms and benefits by using Experience Cloud sites.
  • Track claim amounts by using Experience Cloud sites.

Ship and Debit Claims Analysts

  • Review ship and debit claims and communicate with partners about them.
  • Audit processed claims and adjust claim amounts.

Finance

  • Review and approve ship and debit programs.
  • Review and approve ship and debit claim amounts.
  • Adjust and edit ship and debit claim amounts.
