Configure the License Utilization Alerts Flow for User Licenses

Configure the License Utilization Alerts Flow for User Licenses

Creating alerts for user licenses involves configuring the License Utilization Alerts flow. Define which user licenses to monitor and the percentage thresholds that trigger an alert.

          Before you begin:

          • Do you have your list of user license names ready to go?
          • Did you copy the names directly from License Utilization?

You must create separate flows for user license and permission set licenses. See Configure the License Utilization Alerts Flow for Permission Set Licenses. The flow only honors the license type that you indicate in the Create License Utilization Alert element.

          Tip
Tip You can save the flow at any time so you don’t lose your work. When you save the flow, it becomes version 1 but isn’t yet activated so you can continue modifying this version. Give it a descriptive name, for example, “Alerts for User Licenses.”
          1. From the App Launcher, select Automations.
          2. From the Flows tab, click New, then enter License Utilization in Search to locate and select the License Utilization Alerts template.
          3. (Optional) Change the schedule when the flow runs.
          4. Click the Assign License Values element to create a list of user licenses to monitor.
Keep or change the default assignment for the Salesforce license, or add more licenses.
            1. Click Add Assignment.
            2. For Variable, enter CollectLicenses, and for Operator, select Add.
            3. For Value, type or copy the name of the user license as it appears in License Utilization.
            4. Repeat until you added all required user licenses.
Assign License Values element showing multiple user licenses added to the CollectLicenses variable.

If you accidentally mix user licenses and permission set licenses when assigning the license values, the flow only honors the license type indicated in the Create License Utilization Alert element in step 6. The flow silently ignores licenses that don’t match the indicated license type.

          5. Click the Assign Thresholds element.

The default threshold values are 80% and 90%. If the default values work for you, go to the next step. If not, modify or add threshold values. To add a threshold value, click Add Assignment.

            Variable SetThresholdValue
            Operator Add
Value Whole number (1 to 100)
Assign Thresholds element showing the default utilization thresholds of 80 and 90 percent. You can add or update the default values by using the SetThresholdValue variable.
          6. Click the Create License Utilization Alert element.

Notice that for License Type is already collecting user licenses, so no modifications are required.

The Create License Utilization Alert element showing that the License Type is set to collect user licenses.
          7. Save the flow and give it a descriptive name.
          8. Activate the flow.
