Send License Utilization Alerts to Multiple Profiles

Send License Utilization Alerts to Multiple Profiles

Send alerts to everyone assigned to the specified profiles. Because the License Utilization Notification template’s default behavior is to send notifications to only the System Administrator profile, the flow requires some changes.

          Note
Note To send an alert notification to only one profile, or to only the default System Administrator profile, see Send License Utilization Alerts to a Profile's Users.

Before you begin, collect a list of profiles to notify.

          1. From the App Launcher, select Automations.
          2. From the Flows tab, click New, then enter License Utilization in Search to locate and select the License Utilization Notification template.
          3. Select the Get System Administrator Profile element, and change the label and API name, for example, Get Profiles (1).

In this example, we’re going to send notifications members who belong to three different profiles: System Administrator, Marketing User, and Standard User.

          4. From Condition Requirements, change the operator to Any Condition Is Met (OR) (2).
          5. Under Filter Profile Records, click Add Condition, then indicate:
            Field Name
            Operator Equals
Value Profile name, for example, Standard User
          6. Repeat until you added all the required profiles.
            1. For How Many Records to Store, select All records (3).
            2. For How to Store Records, select Choose fields and let Salesforce do the rest.

Leave the default value of Id for the Field (4).

The Get Profiles element, which defines the profiles to notify.
          7. Next, collect the user IDs for the members of the profiles to make that information available to the Get Users element.
            1. Click Add Element Add element under the Get Profiles element, then select Transform.
            2. In the Label field, enter Profile Collection.
            3. For Source Data, add Profiles from Get_Profiles.
            4. For Target Data, add Text.
            5. Click Allow multiple values (collection), then click Create.
            6. Map Profile_Collection under Target Data to Id under Source Data.
The Transform element collects the user IDs of the members of the multiple profiles.
          8. Now, indicate to get the users who are members of the profiles.

Click the Get Users element, and go to Filter User Records.

            Field Profile ID
            Operator In
            Value Profile Collection
          9. Save the flow and give it a descriptive name.
          10. Activate the flow.
