Delegate Site Administration to an External User

Delegate Site Administration to an External User

Delegate the administration of your site to an external user to increase your site’s capacity for growth and reduce bottlenecks. External administrators can add, update, and disable members, and they can reset passwords and manage user permissions.

          Required Editions

Available in: Salesforce Classic and Lightning Experience
Available in: Enterprise, Performance, Unlimited, and Developer Editions
Applies to: LWR, Aura, and Visualforce sites
          Permissions Needed
To manage external users: Manage External Users
To create, edit, and delete profiles: Manage Profiles and Permission Sets

Keep these considerations in mind when delegating an external user as a site administrator.

          • You can grant delegated external user administration to users with Partner Community, Customer Community Plus, Gold Partner, Enterprise Administration, or Customer Portal Manager licenses.
            Note
Note These permissions are automatically enabled when a user is granted the “Delegated External User Administration” permission. They aren’t automatically disabled if the “Delegated External User Administration” permission is disabled.
            • The “Portal Super User” permission for users with profiles using Customer Community Plus licenses
            • The “View Roles and Role Hierarchy” permission for all users
          • Custom fields aren’t visible to a delegated external user administrator when they view user detail records in Salesforce Classic or Lightning Experience.
          • To access the account that they’re managing, users with the “Delegated External User Administrator” permission require Read access or greater.
          • Delegated admins with Customer Community Plus licenses can remove the Role field from the Users compact layout to edit members.
          1. From Setup, in the Quick Find box, enter Profiles, and then select Profiles.
          2. Select a profile with a supported license and clone it, or click a custom profile.
          3. Click Edit.
          4. Select Delegated External User Administrator.
          5. Click Save.
          6. In the Delegated External User profiles related list, click Edit.
          7. Select the profiles that you want the delegated external user administrator to manage.
          8. In the Delegated External User Permission Sets, click Edit.
          9. Select the permissions that you want the delegated external user administrator to manage.
          10. Save your work.

External administrators can enable or disable a user or reset passwords from the Experience Cloud site that they belong to by clicking Manage External User | View Partner User on the contact’s record. To ensure that the delegated external user administrator is set up for success, check that:

          • Accounts and contacts are available on your delegated administrators site. The Account and Contact tabs are set to Default On. Optionally, field-level security and page layouts only display the account and contact fields you specify.
          • Account layout pages for the delegated external member profile include the Active field on the Community Members related list.
          • Delegated external user administrators have “Create” and “Edit” permissions on contacts so that they can create and update contacts related to their account.
          • Delegated external user administrators can assign all the permissions in the permission sets that you want them to manage.
          • If delegated external administrators require access to personally identifiable information, such as usernames and aliases, select the View Concealed Field Data permission on the delegated external user administrator profile.
          • These buttons are added to the Salesforce Mobile and Lightning Experience Actions section on the Contact page layout.
            • Disable Partner User
            • Disable Customer User
            • Enable Partner User
            • Enable Customer User
            • View Partner User
            • View Customer User
          • Give External Users Access to Manage Other Accounts
Authorize external users to manage permission sets for other users, reset passwords, activate, deactivate, or add members to other accounts. With the Account Switcher component, external users can easily access the other accounts.
          • Delegate Account Management to an External User
Give external users the power to manage account members and account brand information. Administrators, internal users, and partner users with the Delegated External User Administrator permission can create and edit a member, reset a member’s password, and activate or deactivate a member. They can also upload brand logos and save company information for co-branded email templates to partner users, and create marketing campaigns, deal notifications, and websites.
