Make Providers Available for Appointment Scheduling

To make a provider available for appointment scheduling, edit the Salesforce Scheduler permission set and then assign the permission set to all relevant providers.

          Required Editions

          Available in: Lightning Experience

Available in: Enterprise and Unlimited Editions with Health Cloud

          User Permissions Needed
To create user profiles and manage permission sets: Manage Profiles and Permission Sets
          Note
Note To make providers available to be included on scheduled appointments, the provider must have a Salesforce User license (such as Salesforce Standard User, Health Cloud User, or Salesforce Platform Login license) or a Customer Community Plus license assigned to them. To learn more about the licenses that support Salesforce Scheduler, see Licenses for Salesforce Secheduler.

If you don’t already have a profile for providers and user records for providers, create them. Base the profile on the Standard User profile. After you set up the permission set, you assign it to provider user records.

          1. Create a standard user profile for providers and then add providers as users in the org.
            1. From Setup, in the Quick Find box, enter Profiles, and then select Profiles.
            2. Click New Profile.
            3. For Existing Profile, select Standard Platform User, and then enter a name for the profile. For example, enter Healthcare Provider.
            4. Click Save.
            5. On the profile overview page, click View Users.
            6. Click New User to add a single user or click Add Multiple Users to add more than one user. Whichever you choose, select Salesforce Platform as the user license and then select the provider profile you created.
            7. Enter other user information as needed and click Save.
          2. Create a permission set with the Salesforce Scheduler permission set license.
            1. From Setup, in the Quick Find box, enter Permission Sets, and then select Permission Sets.
            2. Click New.
            3. Enter a label, API name, and description for your permission set. To keep it simple, use Salesforce Scheduler Resource.
            4. For License, select Salesforce Scheduler, and click Save.
            5. On the permission set overview page, under System, click System Permissions.
            6. Click Edit.
            7. Enable the Let a user be included in appointments in Salesforce Scheduler permission.
            8. Click Save.
            9. In the Permission Changes Confirmation dialog, click Save.
          3. Assign the Salesforce Scheduler Resource permission set to the users who you have created or identified to be available as providers. Assigning the permission set automatically assigns the associated permission set license to the user.
            1. On the Salesforce Scheduler Resource permission set overview page, click Manage Assignments, and then click Add Assignments.
            2. Select the users who you want to assign the Salesforce Scheduler Resource permission set to, and then click Assign.
            3. Click Done.
