          Share Waitlist Data with Authenticated Users

          Create a profile or update an existing profile to assign the permissions that portal users require to access Waitlist Management objects and flows. Waitlist Management is only available for authenticated portal users.

          User Permissions Needed
          To create sharing rules: Manage Sharing
          To assign permission sets and object access to users: Manage Users
          To access Health Cloud objects for site users: Health Cloud for Experience Cloud Sites
          To administer a Health Cloud site: HealthCloud for Community

          Prerequisite: Give Authenticated Users Access to Self-Scheduling. Clone the Customer Community Plus User or Customer Community User profile. Then, assign the standard object permissions and org-wide sharing settings for the self-scheduling portal user.

          If you’ve previously set up self-scheduling, update the existing cloned Customer Community Plus User or Customer Community User profile and update the sharing settings for for the self-scheduling portal user.

          1. From Setup, in the Quick Find box, find and select Profiles.
          2. Select or edit the self-scheduling profile you cloned from the Customer Community Plus User or Customer Community User profile.
            • If you edit the profile: Under General User Permissions, select Run Flows. Under Standard Object Permissions, grant Read and Edit access to the Appointment Invitations and Waitlists objects. Save your changes.
            • If you select the profile: From the Profile Overview, select Object Settings. Grant Read and Edit access to the Appointment Invitations and Waitlists objects. Under App Permissions, select Run Flows. Save your changes.
          3. From Setup, in the Quick Find box, find and select Sharing Settings.
          4. In Manage Sharing Settings for, select Appointment Invitations and create a sharing rule for authenticated users.
          5. In the Appointment Invitation Sharing Rules section, click New.
          6. For Label, enter Appointment Invitation Sharing Settings. Accept the default rule name.
          7. Enter these details.

          8. Save and confirm your changes.
          9. In Manage Sharing Settings for, select Waitlists and create a sharing rule for authenticated users.
          10. In the Waitlist Sharing Rules section, click New.
          11. For Label, enter Waitlist Sharing Settings. Accept the default rule name.
          12. Enter these details.

          13. Save and confirm your changes.
          14. To allow patients to accept or decline invitations in the self-scheduling portal, assign authenticated users to the profile.
            1. From the patient’s person account record, click Enable Customer User.
            2. In Profile, select the profile you created or modified to give access to Waitlist Management.
            3. Make sure the user has an email address.
            4. Select Generate new password and notify user immediately.
            5. Save your changes.
