          Review a Contract Document in Non-Private External Review Mode

          After the contract author sends the contract for external review, reviewers open the document, make tracked changes and comments, and mark their review as complete. The review status updates in Salesforce, where the contract author checks review status and check the document back in when all reviewers complete their review.

          In a non-private external review, all reviewers edit the same Microsoft Word document. As reviewers add comments and track changes, the updates are visible to everyone participating in the review.

          Before you Begin

          1. Access and review the contract as an external reviewer.
            1. Open the invitation email from the contract author.
              The link in this email only works for the direct recipient.
            2. Click Open in the email.
              The contract document opens in Microsoft 365 Word Online in your browser.
            3. On the Home tab, click the Salesforce Contracts for Word add-in.
            4. If prompted, log in to your Microsoft account and select your organization.
              The Salesforce Contracts Connector for Word sidebar loads.
            5. Review the available tabs: Changes, Comments, and Document.
              Track changes are automatically enabled. All edits you make are tracked as suggestions.
            6. Review the contract and make your edits directly in the document.
              Tracked changes appear as colored insertions and strikethrough text.
            7. To add a comment, select the relevant text in the document and use the Comments tab in the sidebar to start a conversation.
              Comments are visible to all reviewers and the contract author.
          2. Complete the external review.
            1. In the Salesforce Contracts Connector for Word sidebar, click Mark as Complete, after you finish your edits and comments.
            2. In the Mark as Complete dialog, select I consent to capture my data, and then click Next. Or, to skip the consent step, click Next directly.
              Salesforce saves your name and review information to support reporting.
            3. Click Complete Review.

              The View Review Status link becomes active. The Changes tab shows a summary of all edits by section, labeled Edited or Deleted. The contract author can check review status and check the document back in when all reviewers complete their review.

          3. As a contract author, review and incorporate external reviewer changes and checks in the document.
            1. Open the contract document in Salesforce Contracts and click Open in Microsoft 365 editor.
            2. In the Salesforce Contracts Connector for Word sidebar, review the Changes tab.

              The tab shows Review Completed with a summary of reviewer changes by section.

            3. To verify the reviewer’s status, click the View Review Status.

              The External Review Status dialog shows the reviewer’s name, access type, and status as Completed.

            4. Review tracked changes in the document.

              An Accept or reject suggestion tooltip appears on each change.

            5. In the Comments tab, read reviewer comments and reply if needed.
            6. Click Check In, and then confirm by clicking Check In again.
            7. Click OK.

              After check-in is complete, Salesforce Contracts creates a document version and marks it as Active with all tracked changes preserved.
