Configure an Approved Email Template for Non-Marketing Users
Build a Distributed Marketing and Alerts email template that non-marketing users can personalize by using approved phrases and images. Plus, specify parts of the template they can edit.

When configuring an email template for Distributed Marketing and Alerts, keep these considerations in mind:
- You can add up to 30 approved images and 30 approved phrases.
- To include an image or phrase automatically but allow the user to edit or remove it, set it as a default.
- You can include any phrase by default, but you can designate only one default image.
- When you set a phrase as required, it appears locked to the user and they can't edit the phrase.
- You can't set an image as required.
- If a phrase or image is not set as default or required, the section appears as a blank placeholder.
- If a subject line or preheader is unlocked, the user can enter custom text even when approved options are available. To ensure that they choose only from the approved options, lock the field.
Define the Approved Content for an Email Template
- On the Content tab, open the email template that you want to edit or create an email template.

Add components to the canvas.
- To add approved subject lines or preheaders, first add a default subject line or preheader. Then turn on Approved content to add approved variations.
- To add approved images, from the Media category, drag Approved Images.
- To add approved phrases, from the Basic category, drag Approved Phrases.
- Enter instructions on how to use the template.

Add approved images from the CMS or use a merge field. Optionally, configure these
settings:
- Add a caption, hyperlink, or alt text to an image.
- Set an image as required or as the default.
- Add approved phrases and apply formatting. Optionally, include a phrase by default or require a phrase to lock it for the end user.
- Save your work and publish the email template.
To make the published template available to non-marketing users, create an event-triggered flow for Distributed Marketing and Alerts and add the published template.
Manage Access to Email Template Content
By default, template-wide settings and individual content components are locked. Locking or unlocking the parent component automatically locks or unlocks all nested components.
You can adjust access to specific components in different ways.
- Configure template-wide settings. Go to the Settings tab of the template and give users access to change styles, layouts, settings, and any unlocked components in the email.
- Add a data source. Go to the Data Sources tab of the email template. Add the prebuilt Distributed Marketing and Alerts Message Event as the Event Data Provider type to use and preview certain merge fields in the email.
- Unlock a component. Select it on the canvas and give users access to modify it.
