          Limit Access with Folder Permissions

          Limit Access with Folder Permissions

To protect your content in folders, assign access to specific user groups with permissions. Before you apply folder permissions, make sure that you’ve created user groups and organized your content in folders.

          Required Editions

Available in: accounts that have purchased custom user roles
          User Permissions Needed
To apply folder permissions: Account Engagement Administrator role
          Note
Note Don’t apply folder permissions to the Uncategorized folder. If a user doesn’t select a folder during asset creation, the asset is put in the Uncategorized folder. If users don’t have permission to access the Uncategorized folder, they no longer can access the asset.

Keep these considerations in mind when applying folder permissions.

          • Admins can access all folders.
          • Subfolders inherit permissions from the parent folder. For example, Folder 1 contains Folders A and B. Granting access to Folder 1 also grants access to Folders A and B. You can explicitly set permissions on subfolders if necessary.
          • Permissions set on a subfolder override the inherited permissions from the parent folder. To give a subfolder its own permissions and the permissions of its parent folder, set both permissions on the subfolder.
          • Folders remain public until you select groups with access.
          • You can’t put prospects in folders, so you can’t use folder permissions with prospects.
          • If you’re using the Salesforce connector, folder permissions on lists carry over to Salesforce if the lists are marked as CRM Visible. For example, a sales user doesn’t have access to Folder A, which contains Lists 1 and 2. When the user adds a prospect to a list from Salesforce, the user doesn’t see Lists 1 and 2.
          1. Open the folders page.
            • In Account Engagement, select Marketing and then Folders.
            • In the Lightning app, select Content and then Folders.
          2. Find the folder you want to limit access to.
          3. Click the gear icon, and select Permissions.
          4. Select which groups can access the folder’s contents.
          5. Save when finished.

Folders with applied permissions have a lock icon next to the name.
