          Set Up Statement Approval Routes

          Approval routes determine who approves statements, the number of approvers, the order of approvers, approval reminders, and team lead routing. You can define multilevel approval routes with flexible approval structures for end-of-period statement approvals and document approvals. You can also set up an automatic approval process for a default approval route to reduce manual work and avoid delays.

          User Permissions Needed
          To create statement approval routes:

          A Spiff user role with these permissions turned on.

          • Approval Routes: Manage
          • Approval Settings: Manage

          Create any number of routes. After you set up an automatic approval process, approvals are sent only for statements that didn't have manual approvals. If all statements were sent manually before you set up automation, no statement approvals are sent automatically.

          If the approver is a team lead and your team structures contain multiple levels within the hierarchy, you can specify which team lead performs the approval. Level 0 represents the direct team lead, and each subsequent number represents the next team lead in the chain.

          1. Create approval routes.
            1. Navigate to Settings From the Admin menu select Approval Routes.
            2. Click New Approved Route.
            3. Enter a name for the route.
            4. Set up the first approver.

              You can search for users by name or filter the list of users by plan or team. To approve a statement, the user you select must have one of these privileges. You can’t send statements to external users.

              • The Company Admin default role
              • The Finance default role
              • A custom role with Statement Approvals: View and Statements: View permissions
              • An active team lead assignment for the statement owner’s current team
            5. Set up the approval process. Specify whether approval reminders are sent, the number of approval reminders, the approval reminder cadence, and how to handle team lead routing, if turned on.
              The options that are available depend on the selected approver.
            6. Add approvers as needed.
            7. Save your changes.
          2. Optionally, configure automatic sending of approvals.
            1. Navigate to Settings From the Admin menu select Default Approvals.
            2. Select the approval route for the automated process.
            3. Turn on Send Approvals Automatically.
            4. Select how many days after the end of a statement period you want to send the first approval request.
            5. Save your changes.
            Spiff sends approvals at 3:00 AM Mountain Time (GMT-7).

          To edit routes, navigate to Settings From the Admin menu and select Approval Routes. You can also edit routes within the workflow of sending a document or a statement approval.

          You can delete routes, but we recommend archiving routes instead. Deleting routes is permanent, but you can unarchive archived routes.
