Archiving User Accounts in Salesforce Spiff

Archiving User Accounts in Salesforce Spiff

After you archive a user account, it’s hidden from Spiff. If you ever must assign this account to a new team or project, it won’t be available. You can unarchive the user account if needed.

          Required Editions

Available in: both Salesforce Classic (not available in all orgs) and Lightning Experience
Available in: Enterprise, Unlimited, and Developer Editions
Available for an additional cost in: Professional Edition with Web Services API Enabled

Archiving a user account effectively hides the user account in Spiff. If you want to add this user account to a new team or plan assignments, it’ll no longer be available. However, archiving a user account won’t automatically remove them from preexisting teams or plan assignments. Therefore, you can add an effective date range to any plan or team assignments to remove this user account from any current configurations.

          Statement and Statement Approvals

Archiving a user account won’t impact statements irrespective of whether they’re frozen or unfrozen. The only way to hide statements for a user account is through effective dating on the corresponding plan assignment. If statement approvals have been used, they’ll stay in the Spiff system for the archived user accounts. Any previous documents and their approval status will remain in the Spiff system to keep previous records intact.

          Reports

Reports are usually linked to the plan, payout rules, and team assignment. Even if a user account is archived, its data will still be included in reports according to the effective assignment dates on a team or plan assignment. However, if the user account is outside the effective date range of a plan or team assignment, its data won’t be included in reporting, even if it is still syncing into Spiff. The only exception is when a report is filtered by rep. In this case, the archived user account won’t be included in the report’s data, as it can no longer be selected in the rep filter.
