To add or remove fields to scheduling flows: Workforce Scheduling Manager

In this scenario, a user wants to link a case to an interaction so that each scheduled meeting references the related case. The admin adds a Case field to the interaction details step in the scheduling flow. After scheduling, the case reference is visible on the interaction record, giving users a direct link between the meeting and its associated case.

Add a Field to the Source Object

Before adding a field to the scheduling flow, confirm that the field exists on the source object. If it doesn't, create it first.

          1. From Setup, select Object Manager.
          2. Select the object that the scheduling flow references (for example, Interaction).
          3. Select Fields & Relationships, and then click New.
          4. Select the field type. To link a case to the interaction, select Lookup Relationship, and then click Next.
          5. Select the related object (for example, Case), and then click Next.
          6. Enter the field label and description, and then complete the remaining steps in the wizard.
          7. Click Save.

For detailed guidance on creating fields, see Create a Custom Field.

          Clone the Scheduling Flow

Standard Workforce Scheduling flows are managed and can't be edited directly. Clone the flow to create an editable version and ensure you don't make unintended modifications to an already functional flow.

          1. From Setup, in the Quick Find box, enter Flows, and then select Flows.
          2. Open the scheduling flow you want to customize (for example, Schedule Appointment).
          3. Click Save As New Flow.
          4. Enter a label and description for the cloned flow, and then click Save.

Add a Field to a Flow Screen

Add a field to a screen in a cloned scheduling flow so users can provide additional information when they schedule appointments.

          1. In the cloned flow, open the screen element where you want the field to appear (for example, Add Appointment Details).
          2. In the component palette on the left, select the Fields tab.
          3. Drag the field you want to add onto the screen canvas.

For a case lookup, drag the Case lookup field from the Interaction object fields.

          4. Configure the field's properties in the right panel, including the label and whether the field is required.
          5. Click Done to close the screen editor.

Remove a Field from a Flow Screen

Remove a field from a screen in a cloned scheduling flow when your organization doesn't need the information.

          1. In the cloned flow, open the screen element that contains the field you want to remove.
          2. Select the field component on the screen canvas.
          3. Click Delete to remove it from the screen.
          4. Click Done to close the screen editor.

Activate and Assign the Cloned Flow

Activate the cloned scheduling flow and assign it to the quick action or button so that users see the updated screens when they schedule appointments.

          1. Click Save, and then click Activate.
          2. Replace the original flow reference in the quick action or button with the cloned flow so that users see the updated screens when they schedule appointments.

After activation, verify that the new field appears during the scheduling flow and that its value is saved to the record. For the case lookup example, open a scheduled interaction and confirm that the case reference appears on the interaction record.

For a full list of standard scheduling flows, see Standard Workforce Scheduling Flows.
