Manage Legal Hold Requests in the Archive App

Manage Legal Hold Requests in the Archive App

Place archived records on legal hold by creating a legal hold request in the Archive app. When records are under legal hold, they can't be unarchived, deleted, or removed—whether accessed through the SDK RTBF or the user interface.

          Note
Note Records can be placed on hold multiple times. For example, if a company is facing litigation, any archived records mentioning the involved individual can be placed on legal hold.
          1. Go to the Archive Search tab.
          2. Search Archive for any ID or text string for the individual whose records you want to put on hold. Or select the Object and Field from the dropdown list.
          3. To narrow your record search, click Add Date Range and select a date range.
          4. Click Enter, or click the search icon.
            Note
Note Records under legal hold are marked with a lock icon. Hovering over the lock reveals the number of hold requests associated with the record.
          5. In Archive Search, click the Settings icon and select Perform Legal Hold.

The Hold Records in Archive window displays the number of root records that are held.

            Note
Note The total number of held records can be higher, as Archive also archives related child records.
            Note
Note If the option to select Perform Legal Hold is unavailable, contact your system admin to grant you the necessary permissions.
          6. Enter an Operation Name.
          7. Enter a Description for the record.
          8. Click Hold.

          Unhold a Request

          Note
Note If the option to unhold a legally held record isn't available, contact your system admin to grant you the necessary permissions.
          1. On the Archive home page, click Legal Hold Requests Legal Hold Report.
          2. Click the arrow next to the record to unhold.
          3. Select Unhold.
          4. Click Confirm.

To view, unarchive, and export a record, click the down arrow next to the record.

          • Export—Export the record.
          • View—View additional information about the record. If the record is an archived record and it's legally held, an additional Related Legal Hold Requests tab is displayed showing the list of processes that are holding the record.
          • Unarchive—Unarchive the record.
            Note
Note Unarchive option appears only if the record is legally held.
