Quickly identify the nature and exact location of sensitive data, spot false positives,
and manage records. Multiple instances of sensitive data found within a single field get grouped
and categorized. Users with a specific permission can trigger an asynchronous, results export,
including sensitive excerpts, via a CSV file for auditing and compliance requests.

Note Access to view and export excerpts is governed by strict, role-based access controls. A
specific user permission is needed and is turned off by default.
Providing access to sensitive data excerpts increases the risk of data exposure. To maintain
a strong security posture, follow these guidelines:
Grant on a Need to Know basis. Assign the Manage user access to view detected
sensitive data in the results of the Data Detect scan permission only to
specific users, such as Data Security Salesforce admins or Internal Auditors who require it
for a defined task.
Temporary access only. Only turn on the user permission for the time of the specific audit
or verification task.
Turn off immediately after use. After the task is complete, immediately revoke the
permission to minimize the window of exposure.
Secure your exports. Exported .csv files contain sensitive data in plaintext. Handle these
files according to your organization’s highest security standards and delete them when they
are no longer required for compliance.
The results dashboard offers two views to help you analyze your findings:
Aggregate Results. Use this view to identify trends, patterns, and areas of high risk from
a summary of the data.
Scan Results. Use this view to drill down to specific pieces of sensitive data. You can
view up to 200 results per field directly in the dashboard.
Go to the Data Detect Job Sessions tab and select the job session under Job Session Name
to view the status and results.
The Scan Results page provides a detailed breakdown of the detected sensitive data types,
where you can drill down into specific instances. If the Show Excerpt of Sensitive
Data is turned on, it allows visual validation of data snippets and the ability
to manage records at scale.
