Set Up Notes

Set up Notes to enhance your team’s productivity. Provide users with access to notes on a record page, utility bar, navigation bar, or in the Salesforce mobile app. When you configure Notes, users can add more detail by using rich text, lists, and images in their notes. They can also link notes to specific records for better organization and share them with colleagues to improve collaboration.

If you’re migrating notes from Salesforce Classic to Lightning Experience, review the Magic Mover for Notes and Attachments customization guide. Before using the Magic Mover, add the Files related list to page layouts.

Control Where Users Can Access Notes

  1. From Setup, enter Notes Settings in the Quick Find box, then select Notes Settings. Select Enable Notes, then click Save.
  2. For each object where you want users to take notes, access the page layout editor and add the Notes related list.
  3. Add the New Note action to global publisher layouts.
    The New Note action isn’t available on the Notes & Attachments related list or as a global action in Lightning app pages in the Salesforce mobile app. If you override the global publisher layout on any of your object page layouts, add the New Note action to your custom layouts.
  4. To give users access notes from a utility bar, add Notes as a utility item.
  5. To give users access to the Notes home page, add the Notes item to the navigation bar of your Lightning apps.
  6. To turn off feed tracking for Notes, from Setup, enter Feed Tracking in the Quick Find box, then select Feed Tracking. Select the object you want to turn off feed tracking for, then deselect All Related Objects.

Set Up Notes for Salesforce Mobile App Users

  1. From Setup, enter Activity Settings in the Quick Find box, then select Activity Settings.
  2. Select Allow Creation of Tasks from Notes, then save the page.
  3. From Setup, enter Navigation in the Quick Find box, then select Salesforce Navigation.
  4. Move Notes from the Available list to the Selected list. We recommend putting it above Smart Search Items.
  5. Save the page.

In the Salesforce mobile app, your users can create a task from a note by swiping a line on the note. Alternatively, they can tap Blue check mark in the toolbar to add or update the status of an action item. If a user’s profile is assigned more than one Task record type, the user is prompted to choose a record type for the task.
