Keep the Category Color Intact When Salesforce for Outlook is Installed or Manual Sync Occurs

Color categories allow you to easily identify and group associated items in Microsoft Outlook.  Assign a color category to a group of interrelated items such as notes, contacts, appointments, and email messages. Color categories can quickly track and organize groups of related items.  You can assign more than one color category to items or remove the color category. 

Synchronizing with Salesforce uses the "Sync with Salesforce" (green color) or "Don't Sync with Salesforce (gray color) categories to manage the synchronization.

Associating an email to a Salesforce record uses the "Added to Salesforce" blue color category.

Microsoft Outlook uses the Salesforce manual synchronization method users can choose to categorize Outlook records with the "Sync with Salesforce" category.  By default, this will change the color of the selected record or records as shown in views in Outlook to the green color.

The color assigned to Microsoft Outlook categories may be changed to None to prevent the record colors from changing in Outlook.


Change the Categories in Microsoft Outlook 2010:

  1. In any view, on the Home tab, in the Tags group, click Categorize
  2. Select All Categories...
  3. Highlight the desired category (For example, Sync with Salesforce)
  4. To choose a color, select the Color dropdown and select the desired color (or None)
  5. Click OK
 

Change the Categories in Microsoft Outlook 2013, 2016 and Microsoft 365:

  1. On the Outlook Navigation Bar from the Home tab, click on the Categorize dropdown and select All Categories...
  2. Highlight the desired category (For example, Sync with Salesforce)
  3. To choose a color, click the Color dropdown and select the desired color (or None)
  4. Click OK
