Frequency is the number of weeks between two automatically planned visits. For example, if you enter the frequency for a customer as 2, your sales reps visit the customer once every two weeks.

The automatic visit planning generates visits for a customer if:

          • The sales rep is the manager of the account.
          • The first day of the selected week is within the validity period of an active management relation.

Depending on the customer visit settings, if the planned visit date is different from the actual date, then the system creates multiple visits during the week.

Use customer visit settings for automatic visit planning. For each combination of management type and visit template, the system allows only one active customer visit setting for a period. While generating visits, the planning algorithm considers and maintains these settings for a customer:

          • Planning mode
          • Frequency of visits
          • Start week and initial year
          • Management type
          • Time and day of the week
          • Duration of visits
          • Visit template
          • Validity Period

Before creating a visit, to avoid duplicates, the automatic visit planning process verifies whether you created an automatic visit for the same day, user, visit template, and customer. If a manually-created visit exists for a user, the system creates an automatic visit that overrides the manually-created visit. Also, if you generate a visit on a non-working day of the user, the system selects the status of the visit as Unscheduled.

You can enable automatic visit planning if you fulfill these conditions:

          • If the sales org of the visit and the automatic sales org wizard is the same
          • If you added the user as a customer manager, and they have the requisite access permissions
          • If the customer visit setting is valid for the visit creation date and has an active visit template
