          Create an Activity

          Create an Activity

To automatically relate an activity to visits, create an activity and then add a visit template to the activity. Whenever a visit is created by using this visit template, the activity is automatically added to the visit. You can create two types of activities: standard and event-driven.

          Required Editions

Available in: Lightning Experience in Professional, Enterprise, and Unlimited Editions that have Consumer Goods Cloud enabled
          User Permissions Needed
          To create activities:

          CGCloud Supervisor

          OR

CGCloud Retail Supervisor User AND CGCloud Retail User

          OR

          CGCloud Sales User

          OR

CGCloud Retail Sales User AND CGCloud Retail User

          1. From the App Launcher, find and select Activities, and then click New Activity.
          2. Provide these details:
            Field Description
            Identification
Activity Name Name of the activity.
            Valid From/Valid Thru

            Validity period of the activity.

Value in the Valid Thru field is calculated only if Valid From + Duration is selected in an activity template. If the Valid From field is changed, then the value of the Valid Thru field is updated. You can also update the field manually.

            Activity Template

Active activity templates that have the same sales org as the user’s sales org. If the user isn’t assigned to a sales org, values aren’t shown.

The templates are shown based on the sort value in ascending order. Records with the same sort value are sorted alphabetically, and records with empty sort value appear at the beginning of the list.

            Description Description of the activity.
            Field Sales Activity

Holds the details of the field sales activity object. Field Sales Activity (FSA) covers a set of job definition lists. For example, Field Sales Activity for "Promotional Display" include these activities.

            • Sell-In Display (Sales Rep)
            • Build Display (Merchandiser)
            • Check compliance of the display (Sales Rep)
Active Determines whether the activity is active.
            Promotion

Promotional reference of the activity. An activity can exist without a promotional reference.

You can select a promotion only after you select an activity template. You can select only sellable promotions. Ensure that the promotion and the activity have the same sales org.

            Visit Template

Visit template assigned to the activity.

            • For event-driven activities, job lists created from an activity appear in all the visits created using this template.
            • For standard activities, jobs appear in all the visits created using this template.

You can select a visit template only after you select an activity template. Ensure that the visit template and the activity have the same sales org. The templates appear according to the sort order of a visit template in ascending order. Templates with no sort order are shown at the end of the list.

Sales Org Sales org of the activity.
            Approval State

Indicates the approval state of the activity.

            • Approved: Activity is created from a field sales activity.
            • Not Relevant: Activity is standalone.
            • Canceled: The field sales activity is canceled. The approval state of associated job definition templates is also set to Canceled.
Owner Shows details of the user who created the activity, which are auto populated and seen in the UI only after the activity is created.
            Description
            Description Language 1/2/3/4

When the activity is created from a field sales activity, this field is preset with the description from the field sales activity.

            Consider History

Indicates whether historical products are considered for creating surveys.

If this option is selected, historical products are shown in the View Surveys tab of a visit. The account-specific list of historical products is shown on the tab.

Products that are manually added to a survey are included in the list of historical products.

            Default Management Type

Default management type that's considered by the automatic activity-activation process for generating job lists.

            • Sales
            • Service
            • Consultant

The default value is Sales. The process considers only the managers assigned to the customer.

            User Policy

User policy followed by the automatic activity-activation process for determining Customer Managers to whom job lists are assigned. The options are:

            • All: The system creates job lists for all users assigned to the customer.
            • Only Main: The system creates a job list for the main manager of a customer. If multiple main managers exist, the system considers the manager who's assigned the manager role for the longest period.
            • First: If already assigned, the system creates a job list for the main manager. Otherwise, a job list is created for any manager assigned to the customer. If more than one manager exists, the system considers the manager who's assigned the manager role for the longest period.
Score Settings (The fields in this section are visible only in the Activity View or Edit mode.)
Consider Score Indicates whether an activity is score-relevant. The default value is No.

Threshold Partially Fulfilled > (%) Lower threshold limit for an activity score.
Activity Question Score Sum of the score values for all questions in the activity. The value of the field is calculated automatically and is non-editable.
          3. Save your changes.
          • Create Conditional Questions
Create dynamic questions to save time and avoid confusion. A child question is shown only if the condition for a parent condition is fulfilled. For example, for the parent question, Number of POS in the store? if the field rep selects 1 as the answer, the child question that appears is, Is the POS working fine?
