          Use Data from a Document

          To get the right information to the right place, select the pages you need and discard the rest. Pages that have already been associated with an object and attached to a document checklist item are marked with a “Transformed” icon.

          If you didn't upload the document yourself, you’re likely to be alerted to a newly uploaded document via a queue that your Salesforce admin set up. To transform an uploaded document that you’re not the owner of, you must have collaborator permission in the file’s sharing settings. When you’re ready to transform the document, from the Received Document record, click Transform Document in the dropdown list at the upper right.

          1. On the Transform Document page, select the pages that contain the data you need. You can either select all pages or:
            • Select Custom and specify the pages you want to include.
            • Select the checkbox below each page to include.
          2. If any of your selected pages are oriented the wrong way, now is the time to correct that. Click the Rotate icon under the pages you want to fix.
          3. Associate the document with one or more existing or new Salesforce records such as accounts.
            The list of objects available comes from the Original Parent Record field in the Document Checklist Item object. If this list is large, the Transform Document process can encounter errors that prevent it from showing the full list of objects or the option to add a new record. Your Salesforce admin can resolve this issue by reviewing the list of objects in the Original Parent Record field in the Document Checklist Item object, and then granting users access only to the objects they require.

            Note To associate the document with a record type, first create a new record and then the option to select a record type displays.
          4. Choose the document checklist item this document belongs to.

            Alternatively, you can have Salesforce create the document checklist item automatically. Select Create document checklist item automatically and then select the document type.

            The transformed document is attached to the document checklist item, not the record you selected in the previous step.

            Tip
            Tip If you’re likely to receive more documents like this one, create an action plan with preconfigured document checklist items. That way you don't have to make the same choices every time. Use an action plan template provided by your Salesforce admin, or create your own action plan.
            Important
            Important After you transform a received document, Salesforce creates a new received document record that's attached to a document checklist item. The new record contains the transformed file. This file only has those pages that you selected for transformation. If you want to associate the file with another document checklist item, transform the new received document.
          5. Save your work.

          Depending on the triggers or flows your Salesforce admin has provided, you can either move this document along to the next step or start on a fresh document.
