Get Started with Intelligent Appointment Management

Before you can use Intelligent Appointment Management, set up Provider Search and verify that the Care Provider Searchable Field records are populating correctly. Next, set up the users who schedule appointments for patients, such as call center agents and coordinators. Then, create the records you need to connect patients to the right provider. After these steps are complete, configure your back-end scheduling system to view appointment slots.

          • Get Your Org Ready for Intelligent Appointment Management
Enable the features and assign the permissions required for provider scheduling and asset scheduling.
          • Enable Intelligent Appointment Management
Turn on Intelligent Appointment Management settings to get started with Intelligent Appointment Management. Follow guided setup steps that walk you through basic data setup and additional tasks such as connecting to Salesforce Scheduler or an external scheduling system. You can also optionally set up features such as patient self-scheduling and advanced mutli-step scheduling.
          • Create Call Center Agent and Care Coordinator Users
Create profiles for call center agents and care coordinators if these profiles don't exist already. People in these roles book appointments for patients in Intelligent Appointment Management. After you create the profiles, you create user records and assign permission sets.
          • Create Appointment Modes
An appointment scheduled with a provider or with an asset such as a clinic can take place over phone, video, or in person. Add appointment modes to the Default Appointment Type field in the Work Type object if you use an external scheduling system or you use operatng hours in Salesforce Scheduler. If you use shifts in Salesforce Scheduler, skip this task and use engagement channels instead.
          • Configure Visit Types
Create visit types (also known as appointment templates) to help users view appointment availability for relevant providers and assets. For example, to schedule preventative care appointments with providers, create a visit type such as Annual Check Up. Or to schedule imaging scans, create a visit type such as MRI Imaging. To set up a visit type, create a work type record.
          • Link a Visit Type to a Care Specialty
For provider scheduling, create a work type care specialty record to link a visit type to a care specialty. When a scheduler selects a visit type in the Intelligent Appointment Management console to schedule an appointment, the linked care specialty is auto-selected in the console.
          • Provide Appointment Statuses and Status Categories
Enable users to track the status of their appointments with customized statuses and status categories. You can add status values that are meaningful to your organization in the Status Values Picklist. Map the picklist vales to status categories to help users manage their appointments better.
