          Managing Coexistence During the Transition Period

          Regardless of whether you choose to use the same org or a new org, there will be a period during which CPQ and Revenue Management are both in active use. This is expected, but it requires deliberate planning.

          • Clearly define which system owns which processes at each phase of the migration. Ambiguity about where to create a quote or process a renewal is a common source of confusion during the transition period.
          • Reporting will be split across both orgs during the transition. Account for this in executive dashboards and communicate the impact clearly to finance and operations stakeholders.
          • Before go-live, inform sales and support teams about the system that they need to use for each transaction type. Provide clear escalation paths for situations when they are unsure.

          New Org Deployments

          For new org deployments, determine how Account and Contact records will stay synchronized between the two orgs during the transition period if both systems are actively used by sales teams.

          Same Org Deployments

          For same org deployments, shared standard objects such as Product2, PricebookEntry, and Account are used by both CPQ and Revenue Management. Agree on a governance model for how these objects are managed and by whom during the transition. During the coexistence period, agree on a clear governance model that addresses these points.

          • Creation of new products, whether through the CPQ workflow, the Revenue Management workflow, both the workflows for a certain duration, or a controlled admin process.           • Management of pricebook entries when both CPQ quotes and Revenue Management quotes reference the same price book.
          • Whether to use a naming convention or a custom field flag to identify records that are ready for Revenue Management or CPQ-only. This approach simplifies data validation and reduces the risk of records being used in the wrong context.
